We are currently looking for an Appointments Coordinator/Receptionist/Administrative Support to work in the Orthodontic Department within the Maxillofacial Unit.

Ideally we would require someone who has experience in direct face to face contact with patients/clients for appointment scheduling purposes.

The role will involve working flexibly on a job share rota basis within the department.


This is an interesting and varied post providing interaction with patients, comprehensive clinic preparation and administrative support to the Orthodontic Consultants, Associate Specialists, Registrars and Junior Doctors.


Reporting to the Team Leader and working closely with the Medical Secretaries in order to ensure the delivery of the service within NHS targets.

The role will include receiving confidential and sensitive information, written, aural or verbal, to be exchanged with patients, relatives, staff or external parties.


The role will involve covering the orthodontic reception desk, appointment scheduling and general administrative tasks; including daily preparation of clinic notes, and typing of clinic letters as and when required.

Ideally we would require someone with medical experience in a hospital or clinical environment who is able to work both within a busy team and on their own initiative when required.

They must be able to prioritise their own workload, possess excellent communication skills combined with a professional telephone manner, have a flexible and pro-active and positive attitude and remain calm under pressure.

Experience of audio typing and word processing is desirable.

To provide full secretarial and administrative support to the Orthodontic Department

Preparing patients notes ready for clinical appointments

Booking appointments for patients as required

Managing capacity within the clinics and moving patient appointments if required

Ensuring all correspondence relating to patients are saved on to the Electronic Document Management systems (Evolve)

Provide and receive confidential and sensitive information written, aural or verbal, to be exchanged with patients/clients, relatives, staff or external
parties

Review and manage the patient pathway to ensure all RTT targets are met, escalating concerns when they arise

Ensure telephone enquiries are dealt with in a confidential, professional, tactful, sympathetic and timely manner

Accurate audio typing using digital dictation and word processing systems as required
