Purpose of the role


The Administrative Assistant provides secretarial support as well as a wide range of administrative assistance to everyone in the firm.


When carrying out their duties/responsibilities, the Junior Administrative Assistant must ensure that the firm's policies and procedures are always followed.


Main duties and responsibilities


This job description is not exhaustive, and the post holder may be required to undertake additional duties from time to time to ensure the smooth running of the support services team.


Key tasks/responsibilities include, but are not limited to:

  • General diary management duties, such as arranging meetings and conference calls.
  • Exercising good judgment with regard to priorities and urgency.
  • Telephone calls taking calls for all principals including intercepting calls, dealing with queries and taking messages.
  • Travel liaising with the principal to arrange travel, accommodation and visas as necessary, preparing travel itineraries.
  • Invoices and expenses processing invoices and expense reimbursements and follow up on any queries regarding payment, reconciling credit card expenses.
  • Correspondence & document management typing all forms of general correspondence (e.g. letters, memos, reports, minutes; presentation slides) and maintaining various excel spreadsheets, as well as photocopying and scanning documents.
  • Post opening and redistributing as necessary, arranging couriers and FedEx.
  • Filing maintaining filing system ensuring that all files, whether electronic or hard copy, are kept complete and up to date at all times.
  • Client Service anticipating the needs of clients, responding to expectations and adding value by ensuring that the client experiences the highest quality of service at all times.
  • Projects assisting with any ad hoc projects that may be assigned.
  • Liaising with suppliers and contractors as directed.
  • Conducting research on new services and products as requested.
  • Assisting with compliance administration, including KYC searches.
  • Maintaining record of office visitors

Qualifications
To perform the job successfully, the post holder must have good GCSE passes in English and Maths and must demonstrate the following knowledge skills and abilities:

  • Strong written and verbal communication skills
  • A critical eye for detail and consistency
  • Well organised and demonstrates the ability to think ahead and multitask
  • Positive, professional attitude and able to remain calm under pressure
  • Ability to prioritise and use own initiative
  • Highly motivated and confident
  • Dependable and teamorientated
  • Professional demeanour appropriate for an international law firm
  • Good sense of humour
  • Previous compliance/KYC admin experience, or qualifications, would be beneficial but is not essential.
