Purpose of the role

  • The Purpose of this role is to manage and organise all cover for absent teaching staff, allocating cover for lesson support, liaising wit external agencies and internal staff as appropriate. You will be responsible for taking all absence calls at 7.30am and delegating staff to the required areas. You will also manage any forward planning of absence. In your role you will organise and collate all cover requests and manage the calendar, accordingly, ensuring accurate and up to date records are maintained in relation to absences, reasons for and length of time; accumulating in weekly statistical reports for the Senior leadership team
  • In addition to managing and organising this role is to provide a proactive and efficient HR support including service spanning all aspects of the employee lifecycle including resourcing, learning and development, compliance, service contracts, management information and projects

Responsibilities and duties

Managing Cover

  • To receive calls from staff regarding their absence and sickness from 730am onwards
  • To organise daily cover for absent staff using the calendar which details planned absences, meetings, school trips and training, plus unplanned absences
  • To make full use of the school calendar and ensure that all future events that require cover/timetable changes/room changes are identified, prioritised and planned for accordingly
  • To allocate cover effectively and efficiently to enable the school to operate with minimum disruption to the students
  • Throughout the day, deal with any changes regarding cover arrangements and deal with any issues arising
  • To develop relationships with supply agencies (for long and short term supply) and provide recommendations to the HR Manager on which agencies are preferred suppliers to the school
  • To be the main point of contact for all supply staff and ensure timesheets are checked and signed daily and electronically authorised or to agencies at the end of each week
  • To keep abreast of Cover Regulations for teaching staff and agency supply staff

General HR Duties

  • To assist in the creation and submission of job adverts pre recruitment
  • Maintain the school website with accurate information regarding vacancies and relevant documents
  • Assist the HR Manager with obtaining relevant preappointment checks for successful applicants
  • Under the guidance of the HR Advisor, ensure that the Single Central Record is kept up to date and is compliant with Keeping Children Safe in Education guidance
  • Create and maintain employee records, physically and in relevant databases
  • Ensure the completion of leaver paperwork, arrange exit interviews and archive files as necessary
  • Assist with other HR projects where required
  • Minute taking

Support for the school

  • Work as required across the school in
