Description

The post holder will:


  • Provide, maintain and develop a high quality, administrative/secretarial support reflecting the professionalism of the Liaison team.
  • Provide a comprehensive secretarial service to the Liaison Team including typing/word processing of letters, memos, minutes, reports and other routine correspondence.
  • Work on their own initiative, as well as part of the wider Administrative Team and demonstrate a willingness to help others and be a key member of the team with responsibility for allocated tasks.
  • Priorite urgent calls/request from ward staff and signposting appropriately to the relevant staff, which may include clinical leads, clinicians, care coordinators, duty clinicians, professionals and hospital staff.
  • Register new referrals on SystmOne (EPR) for referrals received.
  • Use Dictate IT to transcribe clinic letters onto the patient EPR. Type, format and request letters/reports to be approved and send correspondence via post or electronically (via EPR) in a timely manner.
  • Scan urgent patient correspondence onto the EPR.

The Liaison team is a well respected and award winning team that works across traditional healthcare boundaries to ensure that people with alcohol, drug or mental health problems receive the best care possible during periods of contact with the acute general hospital (Emergency Department and Wards).

Nationally accredited by PLAN (Royal College of Psychiatrists). The team consists of specialist nurses (mental health and adult), psychiatrists and team administrators.

  • Provide a comprehensive secretarial service to the designated Team including typing/word processing of letters, memos, minutes, reports and other routine correspondence.
  • Ensure the maintenance of accurate and efficient filing systems, including both paper and computerised systems ensuring strict confidentiality of client identifiable information.
  • Taking of minutes in a range of professional multidisciplinary meetings as requested by Team Members.
  • Prioritise and undertake general clerical tasks, including photocopying, filing, processing of mail etc.
  • Receive and make telephone calls on behalf of the clinicians, taking messages and dealing with enquiries appropriately and ensuring accurate and timely communication of messages.
  • Ensure timely collection and production of statistical data relating to the service as directed, compiling reports where necessary for management information and forwarding relevant information to other Trust Departments as necessary.
  • Undertake any other appropriate duties as may be delegated from time to time by Team Manager or Team members.
  • Maintain a professional and confidential approach to work at all times
  • To be familiar with and comply with relevant Trust Operational, Personnel and Health and Safety procedures.
