We are looking for a Planned Care Admissions Co-ordinator who will be responsible for the delivery of a comprehensive patient centred admissions service for admitted patients.

We are looking for an experienced, highly motivated individual who will be required to be responsible for the running and supervision of a busy admissions administration office.

This is a busy and demanding role and we require a proactive and confident person to fill the post.


This post is fundamental in the provision of a high quality customer focused service in an environment with complex demands and priorities.

You will need to display good leadership skills, as you will be responsible for leading and co-ordinating the admissions administrative team on a daily basis, providing line management and support to ensure full functionality.


The post holder will be responsible for the delivery of a comprehensive patient centred Planned Care Admissions service, for both admitted patients and associated outpatients, ensuring continuity in achieving excellence in patient care.


They will manage the Planned Care Admissions Service admitted patient and associated outpatient processes and where necessary, junior staff, and take a lead role in performance monitoring, improving systems and achieving performance targets.

He/She will take responsibility for ensuring efficient use of allocated theatre and clinic space and liaise with the consultant teams to discuss issues where they arise in relation to theatre and clinic utilisation and booking processes.

He/she will develop systems for electronically capturing the Planned Care Admissions Service admitted patient and associated outpatient information and be responsible for the upkeep, analysis and circulation of this data.


The Planned Care Admissions Co-ordinator will attend meetings for the Division on Planned Care Admissions and associated outpatient processes and be responsible for cascading information to other members of the team.

Waiting List Management

Management of Planned Care Admissions Admitted Patient & Outpatient Processes


To be responsible, through the management of the Planned Care Admissions Offices and designated reception areas, for the day-to-day co-ordination of all Planned Care Admissions admitted patient and associated outpatient attendances, ensuring a high quality, efficient and patient centred service.


To fully involve the multidisciplinary teams in the planning of admissions and associated outpatient appointments, ensuring that the patient is provided with appropriate information regarding their admission / associated outpatient attendance.

Maintain thorough and accurate records of all correspondence with patients throughout their admission and outpatient process.


To be responsible for supporting the Planned Care Admissions Supervisors and individual Planned Care Admissions Administrators with complex admissions and associated outpatient bookings and identify resources required.

To manage waiting list activity and admission data with Trust IT system [i.e. PiMs] and other associate IT systems [i.e. Galaxy] and action any errors.


To liaise with the pre-assessment service and all members of the multidisciplinary team, acting as first point of contact for resolving patient and service issues.


To liaise with the Senior Anaesthetist regarding Pre-Admission of patients, including arranging additional investigations to ensure patients are fit for operation.


To arrange patient transport if required for elective pre-assessment, admission and associated outpatient appointments in conjunction with Trust guidelines and policy.
