A vacancy has arisen within Wessex Reserve Forces' & Cadets' Association for a full time Administrative Officer to support the County of Gloucestershire Army Cadet Force based in Cheltenham.


The Wessex Reserve Forces' & Cadets' Association (RFCA) is an independent, not-for-profit organisation dedicated to supporting and promoting the 4,500 tri-service Reservists and 14,600 Cadets across the seven counties of the South West (Cornwall, Devon, Somerset, Dorset, Gloucestershire Wiltshire, the City & County of Bristol) plus the Channel Islands, as well as providing support and assistance to the employers of Reservists and Cadet Force Adult Volunteers.


As an organisation we engage with the community in order to improve understanding of the roles and needs of the Armed Forces in general and the Reserve and Cadet Forces in particular.

We are dedicated to raising awareness of the contribution they make to the nation and our region.

Most importantly, we ensure that the outstanding contribution made to the local community by members of the Reserve and Cadet Forces is recognised and celebrated by the local community.

The salary is £22,220 per annum. We offer hybrid working.

Annual leave, excluding public holidays, is 25 days per annum rising to 30 days after 5 years service. Previous service in the public sector will count towards qualifying years' service.

The successful applicant will be eligible to elect to join the Council of RFCAs Pension Scheme. This is a Career Average Revalued Earnings (CARE) Scheme.

RESPONSIBILITIES AND DUTIES
1.
Primary Responsibilities and Duties.

a.

Provision of routine clerical support to PSS and Gloucestershire Army Cadet Force (ACF) including:


  • Handle routine enquiries from Gloucestershire ACF Cadet Force Adult Volunteers (CFAV), Non-Uniformed Volunteers (NUV), Cadets, their parents/guardians/carers and the general public;
  • Daily input and management of CFAV and Cadet information via the relevant MIS (Westminster and Joint Personnel Administration (JPA) databases);
  • Provide MIS extracts from Westminster and JPA to support routine business and as requested;
  • Prepare and manage routine correspondence;
  • Prepare and manage the production and distribution of Part 1 and Part 2 Orders;
  • Maintain Staff Lists and Wire Diagrams;
  • Maintain electronic records (filing) and manage open access (SharePoint) facilities;
  • Manage Conference Room Bookings including establishing webinars when requested;
  • Controlling and coordinating the mandatory Annual ACF Detachment Inspection programme;
  • Attend internal PSS meetings as required.

Support to Recruitment including:

  • Deal with all Gloucestershire County CFAV and Non-Uniformed Volunteer (NUV) recruitment enquiries and support the administrative elements of the induction process for all Adult Volunteers;
  • Deal with all Cadet enrolment enquiries and support the administrative elements of the induction process;
  • Provision and control of PSS, CFAV, and NUV Ministry of Defence (MOD) Identity Cards.

Support to Training including:

  • Management of individual training records on Westminster and provision of information regarding out of date mandatory PSS, CFAV, and NUV training;
  • Management of bookings, travel, and subsistence requirements for PSS, CFAV, NUV and Cadet attendance at:
  • Conferences;
  • Meetings;
  • Study Days;
  • Courses;
  • Attendance at the beginning and end of each County level Camp to provide administrative support should you wish to do so (this is a nonmandatory activity).
2.
Additional Duties.

a.

Be prepared to undertake additional duties, as allocated by the CEO, from the list below (not all):


  • Maintain and manage the postage account;
  • Maintain and manage the stationary account;
  • Maintain and manage the office machinery account;
  • Act as a Liaison Officer to outside agencies;
b. Other administrative duties as allocated by CEO consistent within the general duties required of the position and grade.

3.
Available Support.

To carry out your duties you have the following support available:

a. Westminster training and User Guides;
b. JPA training, User Guides and HQ Regional Command Cadet Branch;
c. Army Cadet Resource Centre containing policy documents, pamphlets, and guidance notes;
d. HQ SW Cadet Branch;
e. Locally produced desk top guides;
f. The second AO within the team, the wider PSS and AOs across Wx RFCA.

4.
