About the role:

We are looking for a
Delegate Registration Executive to join our growing Delegate Management project team. The key focus of this role is to manage hotel booking for large congress and exhibitions.

One minute you could be looking after bookings for 11,000 people in Toronto and next you could be looking after 25 bookings in London.

You will have excellent customer service and great communication skills, a good understanding of spreadsheets and databases.

Have a high level of accuracy and attention to detail and have the confidence to liaise with event delegates and clients as well as multiple hotel partners.

As an Delegate Registration Executive, you will:

  • Have an understanding of group hotel accommodation/reservations.
  • Utilise your hotel expertise in creation of the client contract.
  • Research, recommend, negotiate and contract appropriate accommodation.
  • Be client facing
  • Problem solve and communicate information to internal and external stakeholders including clients and suppliers
  • Work with and manage hotel management systems as per the client brief
  • Liaison with hotels regarding additional accommodation requirements or room block changes including subblock management.
  • Ability to travel onsite as required to support events (both in the UK and overseas).

You're good at:


  • Experience of working in hotel front office or reservations.
  • Previous client and delegate facing experience.
  • Able to demonstrate a high level of comfort and accuracy with figures and evaluate numerical data with experience of basic IT programs.
  • Excellent communication skills along with a calm, proactive and collaborative approach.
  • Ability to juggle multiple priorities, projects and tight deadlines.

You might also have:


  • Experience in project management in a meetings & events environment.
  • Experience of sourcing hotels for events or hotel contracting.

You should know:


  • This is a
    hybrid role that requires 3 days a week in our Fleet office
  • Our standard working hours are 9:00am 5:30pm with an hour break
  • You must have the ability to travel within the UK and overseas
