A key part of the role includes providing effective day to day management of the team and also having line management responsibilities for the Pharmacy Clerical Officer/Receptionists, including managing rosters, appraisals, sickness and performance.

Other duties include taking minutes, providing staff support, undertaking reception duties, carrying out a high standard of general clerical and administrative duties, inputting staff details and managing shifts on Health Roster.

There is also a requirement to cover reception on a 1 in 6 weekend Rota.


Knowledge and experience of Microsoft based systems is an essential requirement for this role as the individual will be required to use Excel, Word and Outlook on a daily basis.


The successful applicant will be primarily based at Leicester Royal Infirmary Hospital, however, there will be a requirement to cover all three Hospital sites.


  • Use initiative to prioritise the workload of the Designated Manager and Deputies.
  • Assist in the organisation of meetings booking rooms, sending out agendas/documents and taking minutes as requested.
  • To undertake all aspects of clerical duties as requested by the Manager or other Pharmacy staff including CMG Lead pharmacists.
  • Develop and maintain suitable office systems and update and review these systems to recognise changes in the management arrangements and procedures
  • To maintain accurate records of required information for departmental
  • To coordinate new starters including the completion of HR paperwork.
  • To monitor and place orders for stationery and other ad hoc supplies for the department in a timely and accurate manner ensuring the most cost effective items are ordered, follow up any discrepancies.
  • To line manage clerical and reception staff within the department ensuring annual appraisals are completed, identifying training needs and encouraging professional development
  • Responsible for recording and monitoring of induction paperwork for all new staff members
  • Maintain and update records on staff sickness in line with the UHL sickness absence policy, providing weekly and monthly reports to alert managers when sickness/absence levels are breached.
  • To maintain an accurate record for staff annual leave/time accrued, advising line managers when excessive lieu time is accrued or leave is outstanding in line with departmental policy

  • Use initiative to prioritise the workload of the Designated Manager and Deputies.
Ensure all items of correspondence / phone calls requiring urgent attention are acted upon by the appropriate deputy.

  • Assist in the organisation of meetings booking rooms and liaising with other departments ensuring all members are informed of date, time, place and agenda for relevant meeting take minutes as requested
  • Assist with preparation of documentation for meeting sending out as required in good time.
  • To sort and disseminate incoming mail, processing and responding to items as authorised and to deal with the Managers outgoing mail.
  • To arrange appointments and other meetings for designated Senior staff ensuring the allocated diaries are kept up to date.
  • To undertake all aspects of clerical duties as requested by the Manager or other Pharmacy staff including CMG Lead pharmacists.
  • Develop and maintain suitable office systems and update and review these systems to recognise changes in the management arrangements and procedures
  • To maintain accurate records of required information for departmental
use: for example lists of Ward codes, bleep numbers, telephone lists.
