Supporting the Oldbury management team by providing comprehensive, confidential and efficient administration support and contribute to the long-term improvement of the site.


What you will be doing:

  • To assist in selected aspects of administration including recruitment, employment support and checking document compliance to ensure the right to work in the UK.
  • Weekly wages preparation for authorisation by GM.
  • Support at interviews ensuring all necessary documentation is provided, such as job descriptions, assessment forms etc, and keep basic note of interviews.
  • Uploading of all new starters' documents onto the system to enable payments to be processed.
  • Collating and entering temporary staff onto the systems to enable payments to the respective agencies.
  • To assist in communication of all Group HR policies and initiatives.
  • Generate timely reminders to comply with legislation.
  • Timely inputting of Data to ensure deadlines is met.
  • Maintaining IMS system for all training and policy information.
  • Resolving pay/HR discrepancies.
  • Support internal meetings, providing accurate notes and clear records of the meeting.
  • To maintain accurate up to date HR records.
  • Process purchase orders swiftly and follow through to receipting of items for invoicing.
  • Resolving order/ invoicing discrepancies.
  • To undertake any other administrative duties as requested.
  • Ensure the plant R&R facilities are maintained and serviced.
  • Manage the work wear/PPE supply.

Other Common Responsibilities:

  • Checking document compliance to ensure the right to work in the UK
  • Preemployment checks where appropriate.
  • Setting up new starters on the system and informing system support of requirements.
  • Managing the leaver process including acknowledging resignations and updating payroll. Exit interviews may form part of this in the future.
  • Attendance at disciplinary and review meetings ensuring that support documentation is available for case review, taking of the meeting notes and reporting back.
  • Processing of PO's to support all departments.
  • Processing of receipts of delivery to ensure payments are easily made by head office accounts.
  • Maintain all records up to date.
  • Facilitate alongside the department heads the PDP interviews and maintain records.

About you:
You must have administrative experience. This role requires strong administrative skills and a proactive and flexible approach. The person should be diplomatic and impartial when dealing with certain situations to achieve the best outcome.

You must be able to work to strict deadlines in a demanding environment and have excellent communication skills both verbally and written.

Must be able to maintain clear precise documentation and record keeping


Experience/Skills:

  • A good standard of education
  • Administrative/ Secretarial experience
  • Excellent working knowledge of Microsoft Office
  • Experience of writing/typing letters, memos and meeting notes in an efficient and accurate manner and format.
  • Experience of working in an organised manner in accordance with HR policies and procedures.
