Job summary:

The Royal Army Physical Training Corps (RAPTC) was formed over 160 years ago.

RAPTC headquarters is based in Aldershot, Hampshire and comprises a small team of which the Business Support Clerk is an important member.

As a civil servant, the post holder will work alongside military colleagues to deliver activity that will have a direct impact on the quality of the operational capabilities that the RAPTC and Army provides.

We are looking for a friendly, well-organised and adaptable Administration Officer to join our encouraging and welcoming team.
The position is advertised at 37 hours per week. Requests to work flexibly and/or part time will be considered, taking into consideration the business needs.

Training will be offered to develop your skills and knowledge for the role including all relevant software packages and systems, and financial and contractual processes.

Job description:

The duties of the post include but are not limited to:


  • Manage Resources: You will implement and monitor all stationery requirements for RAPTC HQ, purchasing any stock using the Contract Purchasing + Finance system (CP&F). You will Initiate the Day's Pay Giving Scheme amongst every RAPTC Instructor Course and assist the Regimental Secretary with the Day's Pay Brief. You will be required to monitor and maintain the subscriptions on the Days pay scheme on a monthly basis.

Transport Bookings:

You will be required to arrange all transport needs for HQ RAPTC, using the Global Business Travel (HRG) online booking system and sometimes directly with transport providers.


HQ & Association Meetings:
To schedule and prepare HQ RAPTC meetings, by booking conference rooms and arranging refreshments/working lunches as required. To set up and clear away refreshments for Association meetings. Produce handouts and briefing packs as required. To process all invoices in a timely manner, submitting a monthly Transaction log.


Association Administration:

You will assist the Regimental Secretary with all RAPTC Association business, including but not limited to arranging annual tickets and transport for the Field of Remembrance, Cenotaph parades and Founder's Day parade.

Liaise with the Poppy Factory to arrange all wreaths/crosses for upcoming events. You will maintain the Association Database and update as necessary. Update the Association website on a weekly basis with any news or information. Website experience is desirable.


MBS Journal:
You will assist the Regimental Secretary with all articles in preparation for submission to the publisher. Provide publisher with nominal roll for distribution of journal.


Assist Data Protection Officer (DPO): You will maintain and update the Army Information asset register. Assist the DPO with any data protection business and distribute to HQ staff as necessary. Liaise with Army HQ IS Directorate as and when required.

Card Holder:

You will be the key ePC Government procurement card holder for the department, using the procurement card to pay for any refreshments required for meetings.

Completing a monthly transaction log to evidence any expenditure.


Person specification:


We are seeking a confident, self-motivated individual who is a great teammate, hardworking and able to manage a complex and varied workload.

As the Administration Officer for RAPTC Headquarters, you will communicate effectively across diverse groups of people, within and outside the MoD, and across many grades and ranks.

The role requires a working knowledge of Microsoft Office, Excel and SharePoint, you will also be required to have excellent people skills.

The job holder must adapt to changing priorities and be flexible in their approach to their responsibilities.


(Essential) Procedures - You will, where necessary modify procedures and processes, to deliver accurate and efficient outcomes. You should be willing to learn and undertake mandatory training to enable you to complete the role at a high standard.


(Essential) IT & Systems - You are familiar with the Microsoft Office 365 suite of programmes and have used IT platforms to manage work processes.


(Desirable) Procurement & Finance - You should have previous knowledge of procuring goods and services in line with corporate policy, or making payments, and understand the concept
