Receptionist - FTC 12 months
(with the potential to become permanent)**
Salary scale and point: Grade 2, Point 3-5 (£20,812 - £21,575)

Contracted hours: 37 hours, All year round

Responsible to:
Office Manager


Purpose of the job:

The receptionist is the first point of contact for visitors to the academy, parents, staff and children.

As the 'face' of the academy the receptionist should be welcoming, personable, helpful and able to represent the academy in a professional and friendly manner.

In addition, it is essential that the person for this role is organised, able to multi-task, work flexibly and have a 'can do' approach to work, as no two days are the same.

The receptionist is also required to assist the Office Manager

with various administrative tasks.


Key Responsibilities/Activities

Reception

  • To be the first point of contact for visitors to the academy, extending a warm welcome to callers including parents, visitors, contractors and delivery staff.
  • To welcome visitors, check DBS where appropriate, issue visitors' badges, ensure they are signed in and out and provided with safeguarding information upon arrival in accordance with the Visitor Policy.
  • To deal effectively with telephone calls, transferring callers to relevant staff and taking and
passing on messages as required.

  • To deal with students in main reception in a friendly and efficient manner.
  • To provide general advice and guidance to staff, students and parents in a timely manner in accordance with legislation and guidelines specified by the Principal.
  • To communicate with schools, agencies, health authorities, professional bodies and commercial companies.
  • To ensure that the reception area remains tidy and clean at all times.
  • Signing for and logging any deliveries or arranging for deliveries to another part of
the site as and when required.

  • To receive and distribute all incoming mail on a daily basis and process all outgoing mail.

General administration duties

  • To undertake other duties appropriate to the grade for the post as the Principal or Line Manager may from time to time reasonably determine.
  • Maintaining and updating school information, records and databases e.g. student records.
  • Undertake routine administrative procedures such as wood processing.
  • To print student reports and records.
  • To assist with reprographics workload, as part of the admin team.
  • To maintain suitable filing systems as required.
  • Provide cover in main office when required.

General

  • Be aware of and comply with all trust and school policies and procedures particularly relating to safeguarding, child protection, equal opportunities, health and safety and security, confidentiality and data protection; reporting all concerns to an appropriate person.
  • Carry out all duties with regard to the school's policies and codes of conduct.
  • Set high expectations of conduct, whilst acting as a good role model for others.

Professional Development

  • Participate in training and other learning activities as required and to participate in appraisal and professional development
