An exciting opportunity has become available for a Facilities professional to join a dynamic and innovative team at TSYS

With 2 offices, employing circa 450, the comfort, wellbeing and safety of our staff, clients, and visitors, and our environmental responsibilities are extremely important to TSYS, we strive to provide a vibrant, positive space, that offers a variety of areas for working

The offices have recently undergone a full building, technology and environmental refurbishment, we have a state-of-the-art data hall (Knaresborough) the size of a football pitch housing the most innovative technology

:


You will take a lead role in ensuring the two offices are maintained safely, compliantly and cost effectively whilst offering support to our many different customers, suppliers and vendors

:


You will be an ambassador for the Facilities department, someone enjoys working with people and solving problems. You will also need to be organised with great attention to detail and enthusiastic to deliver excellent communication and customer service skills

Key Responsibilities

:

Serves as primary point of contact for all functions and processes within Facilities

:

-
Available for occasional out of hours onsite business functions and emergency calls (24/7), incidents/emergency handling

:

-
Responsible for the local Facilities Management helpdesk, ensuring all requests are actioned in a timely manner, appropriately and effectively to meet customer satisfaction and expectations

:

-
General BAU activities (ordering office stationery, meeting room setup, H&S training planning and coordination, maintaining accurate filing systems (paper and electronic), DSE's

:

-
Responsible for completing monthly site building inspections, documenting and resolve any issues found and engage appropriate vendors promptly

:

-
Deputise for the Facilities Manager (as necessary) and reporting of business matters

:

-
Supervision of third-party contractors and suppliers undertaking FM work on site, ensuring all work is carried out in accordance with regulatory requirements and company standard operating procedures

:

-
Manage the Contractor Induction Programme, ensuring all Health & Safety documentation is approved prior to works commencing

:

-
Responsible for checking and approving vendor Method Statements and Risk Assessments (RAMS)

:

-
Close liaison and professional relationships with all service providers (engineering, security, catering, cleaning etc) by regular team, contractor/vendor meetings, ensuring agreed service commitments and KPI's are met and exceeded. Ensure value for money is achieved in terms of quality of product, service and cost

:

Lead Facilities employee engagement activities; employee forums and working engagement groups

:

-
Actively seek opportunities to improve Facilities service delivery, make cost efficiencies and stay up to date with the latest FM industry news

:

Provide support and input on H&S, building regulations and environmental & sustainability programs

:

-
Maintain company compliance with health & safety regulations including employee H&S training

:

-
Investigate and maintain records of any on site Accidents / Incident reports

:

-
Conduct site new starter H&S Induction tours covering physical security and health & safety

:

-
Any other tasks commensurate with the job role or as detailed by the Facilities Manager

Person Specification

Education & Experience

:

-
Educated to at least 'O' level/GCSE standard in Maths and English Language or equivalent

:

-
Experience of working within Facilities Management across multiple sites

:

-
Experience of budget management and responsibility

:

-
Practical experience of working with outsourced hard &soft service contractors in a service level agreement operational culture

:

-
Experience of working in a corporate and customer service environment

:

-
Experienced in providing project support

:

-
Office based Health & Safety experience

:


Skills

:

Strong interpersonal skills working effectively with staff at all levels

Effective communicator, both orally and in writing. Including minute taking and maintaining records

Able to demonstrate strong influencing skills
