A number of fantastic opportunities have arisen within the Booking and Outpatient Reception teams to support the delivery of a fit for the future service.

Embarking on new Trust initiatives, whilst challenging us to view existing processes differently, you will be required to multi-task whilst motivating teams to be effective.

This is a large team of booking and reception clerks, who allocate patient appointments across the main outpatient clinics. The team continue to work to the Trust values and support a positive patient experience.


Working closely with the Business Support Managers, the post holder will be responsible for supervising a high quality, professional Outpatient appointment service within the Outpatient Booking and Reception teams, escalating any risks through the appropriate channels.

You will support specific projects for the purpose of developing effective processes, meeting targets and maintaining an operational service.


Working across sites, you will implement and maintain a high level of training in relation to all aspects of the roles carried out by the outpatient booking and reception teams.

You will also have day to day responsibility for leading a team of dedicated administration clerks.

Duties to include but not be limited to:

  • Provide a key link between the department's senior management team, ensuring that the programmes of work are co-ordinated effectively and deadlines are met.
  • To provide a focal point of contact for administrative staff, clinicians, secretaries and other Trust wide service users.
  • Manage a team of staff who provide an outpatient appointment booking service for both New and Follow Up appointments, Outpatient Clinic Receptions, Text Reminders.
  • Maintain confidentiality at all times, as required by legislation and Trust Policy.
  • Assist with the Recruitment & Selection process.
  • Carry out new staff inductions, set up and coordinate full training programmes.
  • Carry out appraisals, address identified training needs or requirements.
  • Monitor staff sickness, taking responsibility for completion of relevant return to work interviews, escalating where necessary.
  • Predict and preempt problem, and resolution of problems in the everyday running of work streams.
  • Play an active role in team meetings and audits as required.
  • Actively investigate and review Datix raised.
  • Collate, analyse and present clinic benchmarking.
  • Understand, cleanse and monitor Follow Up Waiting Lists, Weekly Waits and PTL reports.
  • Support colleagues with OP Digitalisation workstreams, Robotic interrogating data through specific reports.
  • Treat everyone with dignity and respect
  • Act in accordance with current legislation, policies, procedures and good practice.
  • Report behaviour that undermines equality and diversity
