Job summary:
The role holder will support the Quality Consultant in managing the annual quality cycle and provide project management support for quality related events such as external reviews and validations.
They will provide administrative support to the Quality Consultant and wider Senior Management Team/Heads of Department in their management of academic quality assurance processes.
The role holder will play a central role in the work associated with external audits, professional body and validator reporting.
Key responsibilities:
- Manage the student survey cycle and analyse raw data for use by the Heads of Department/Senior Management Team
- Monitor Office for Students compliance requirements and oversee the calendar of reporting, ensuring web presence and procedures are updated
- Monitor the General Osteopathic Council reporting requirements and oversee the calendar of activities, collate evidence and support drafting of reports
- Oversee the validators' annual monitoring requirements and support the collation of evidence and drafting of reports
Administrative support for quality related events.
- Support the management of external reviews and audits
- Drafting schedules and timelines.
- Document collation, formatting and storage
- Scheduling meetings with external and internal stakeholders
- Minuting meetings associated with reviews and audits
- Support the management of validation and approval processes with external validators

- Minuting partnership review meetings
- Lead the administrative functions associated with the academic calendar of meetings to include:
- Annual calendar revisions and publication
- Provide training and support to the minuting secretaries through advice and guidance on best practice
- Minute quality related committee meetings to include the Academic Board and the Academic Quality & Planning Committee
- Work with the Quality Consultant to develop and publish the Quality Handbook and associated web storage. Be responsible for monitoring annual updates and making changes as necessary
- Take lead responsibility for all quality documentation storage on the shared drive and learning zone
- Provide administrative support to the Senior Management Team/Programme Lead and Heads of Department in academic quality related tasks
- Any other duties that might be reasonably required.

Committee attendance:
The role holder will play a central role in Committee organisation and functioning and will act as Secretary for a number of Committees, including Academic Board and Academic Quality and Planning.
PERSON SPECIFICATION
Education & Qualifications
- GCSE A
- C (or equivalent) in Maths and English (essential)
Experience & Knowledge
- Previous experience of an administrative role within further or higher education (essential)
- Excellent written skills report writing or servicing panels (essential)
- An understanding of quality assurance systems, preferably in higher education (desirable)
- Experience of drawing up agendas and minuting formal meetings and undertaking all preparatory work (essential)
- Good working knowledge and understanding of MS Office packages (Word, Excel, Outlook) (essential)
Essential personal skills & attributes
- Able to communicate effectively at all levels within the organisation (oral and written)
- Strong project management skills coupled with the ability to meet deadlines
- Experience of establishing procedures and working relationships with a wide range of people
- Ability to analyse and report on data
- Resilient with an adaptable approach able to adapt to changing and sometimes conflicting demands
