To provide administration, typing and clerical support to the Team for all activity within the Safeguarding function and meet agreed quality standards

To contribute to the delivery of an efficient and effective service through a professional, customer-focused approach.

To support the Safeguarding team clerical manager in the continual review of processes and help to identify and implement changes to service provision by promoting improved ways of working.

We are looking for an enthusiastic admin staff to join our Safeguarding Team. Our team has a range of different roles from admin to Lead Safeguarding Nurses for adults/ children's. We all work very closely together to safeguard everyone.


Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.
Customer Service

  • Provide excellent customer service to all safeguarding service stakeholders, in an efficient and effective manner promoting the service and adhering to agreed quality standards and maintaining confidentiality at all times.
  • Act as a point of contact for first line enquiries in the whole Safeguarding Team, communicating with staff, service users throughout the Trust and external agencies as required.
  • Provide clerical support to staff and line managers within the safeguarding team, dealing with sensitive information relating to casework.
Administration

  • Provide administrative support to the Team, including diary management and the arranging of meetings, photocopying, filing, collating information, and processing paperwork.
  • Ensure proper filing of documentation, both paper and electronic, in established filing systems, following agreed internal process Ensure that these systems are continually maintained allowing timely access to all documentation.
  • Assisting in the management of all the departmental stationery, stock control, ordering and onsite equipment issues.
  • Take accurate minutes of hearings and meetings ensuring they meet department quality standards.
  • Provide timely and efficient typing of letters and presentation of data.
  • Support the Safeguarding Team clerical manager with defined projects and to deputise in their absence.
  • Provide support to the safeguarding team as a whole and specifically midwifery, supporting the band 2 within the clerical midwifery team.
Team Development

  • Support the development of the Team, proactively contributing ideas to enable continuous improvement of the overall service.
  • Support colleagues in the Team as appropriate, and encourage a culture of teamworkand shared capacity.
  • Participate in team meetings, regular 1:1s and feedback, agree through annual appraisal a personal development plan.
  • Participate in team reviews of the team in order to constantly monitor performance, be responsive to needs and remain customer focused.
  • Supported by the head of safeguarding and the office clerical manager support and supervise band 2 clerical personal and delegate tasks as needed.
