Operation Co-ordinator - Competitive Salary

Location:
Cheltenham


As an Operations Coordinator you play a pivotal role within your department, to ensure the successfully operation of our European brochure tours, or make sure our independent travellers' holidays are booked as per their itinerary, within agreed budgets andtime limits.


Responsibilities:


  • To book hotels, ensuring use of allocations where available. Accurately book all services required for the successful operation of the tour within the budget set.
  • To accurately cost any additional requests or changes.
  • To prepare and check the final documentation for any errors or changes.
  • Prepare detailed documentation for tours.
  • To investigate and reply to Customer Service issues in a fair and balanced manner.
  • To always maintain professional relationships with all suppliers and clients.
  • To liaise with agents directly on any changes or operational requirements.
  • To log and share feedback from each tour, to ensure that improvements are made promptly.
  • To assist the Finance Department with invoice queries as they arise.
  • To prepare financial statements and invoices to agents as required and ensure all necessary payments have been received on time.
  • To be able to provide emergency mobile telephone service on a rota basis and provide all necessary information for the emergency file. General office duties.
  • To conduct special projects as and when requested by line management.
  • Any other reasonable duties as requested by your line manager

Experience & Qualifications:

  • Excellent command of the English language, spoken and written.
  • Good level of geographical and general knowledge of Europe.
  • Preferably some knowledge of one other European language (especially Spanish and Portuguese). University degree or similar OR solid and relevant work experience.
  • Uptodate knowledge of Outlook, Word, Excel, and PowerPoint.
  • Numeracy and good, basic mathematical understanding.
  • Ability to multitask and work under pressure.
  • Strong communication skills.
  • A willingness to develop relationships with key suppliers
