Job summary:

EST is a key component of the Defence Support Strategy and is in Delivery phase. It will enable its outcomes by building a more capable Engineering Support capability across the Defence landscape.

As part of the EST Programme Management Office the Project Support Officer will lead on providing essential project controls support to the EST Project Delivery Team.

This is a pivotal role to ensuring the smooth running and overall success of the team outputs.


The post holder is responsible for ensuring project control functional activities are established and coherent across all projects, supporting the project managers in developing project controls proportional to their projects and governance reporting support and guidance.

The role requires an effective communicator, who is proactive, can take the initiative and produce a consistently high level of service in a high tempo working environment; moreover, the post holder needs to be a strong team player with a positive outlook on change and ability to make effective decisions with an awareness of the impact on the wider team.

Communicating effectively to manage expectations, the postholder will create clear plans and set priorities to deliver a quality service with accurate project reporting into the EST governance boards and senior management team.


The post holder will also be expected to contribute to the wider team outputs to include programme support, personnel services, internal/external communications, customer engagement and quality control.

Line management of 1 Band E1

This position is advertised at 37 hours per week.


Job description:

Lead on establishing and managing project controls activity, including risk management & scheduling, liaising with the EST Project Delivery team and Front Line Commands

Attend and record minutes from meetings ensuring actions are communicated and delivered as agreed

Ensure all project documentation is produced and disseminated on time


Support preparation and management of the EST Project Review Board, to include development of the slide pack and all associated activity.

Support development of briefing material, ensuring it is stored in accordance with local policy and maintains version control

Support the Programme Team in the induction phase for new starters, ensuring provision of all IT equipment and software access is in place

Line management of the E1 Business Support


Person specification:

A good understanding of programme/project management methodologies and experience of working in a programme office.

Competent using MS Office tools in a project environment including Word, PowerPoint & Excel.

High standards in both written and oral communication skills.

Excellent time management skills and the ability to prioritise work.

Attention to detail and problem-solving skills.

Experience of taking minutes from meetings and able to produce clear & accurate notes.

Strong organisational skills with the ability to multi-task.


The ability to work both independently and in a team, willing to assist across the team as and when necessary.

Enthusiastic in approach to their area of responsibility


Essential
