Perth Theatre & Concert Hall is the creative organization set up in 2005 to run Perth Concert Hall and to refresh and reposition Perth Theatre, Scotland's oldest repertory theatre company.

Purpose
The Production Assistant (PA) will provide administration support to the Theatre General Manager and winder production team.

You are responsible for assisting in the smooth running of the theatre's program of all in-house productions, visiting productions, education and community activities within Perth Theatre & Concert Hall venues covering a variety of administrative tasks.

Base
Your primary base is at Perth Theatre. You may also be required to work from other Perth Theatre & Concert Hall venues as necessary.


Duties and responsibilities (variable and can include)

  • Arranging appointments and meetings internally and externally for the team, including booking meeting space as needed. Servicing meetings when required including minute taking and distribution.
  • Maintaining and managing the team's filing and archiving system.
  • Assist with the arranging of work placements, ensuring relevant paperwork, permits and risk assessments are in place in accordance with Perth Theatre & Concert Hall work placement policy.
  • Maintain company accommodation digs list, gathering feedback from company members and liaising with accommodation providers.
  • In conjunction with Artistic Director and Theatre General Manager assisting with auditions and casting calls as required, booking audition and rehearsal spaces (internal or external)
  • Assist with workshops, rehearsed readings and other activities as necessary and supporting associated companies
  • Work with the Theatre General Manager, to input show information into the internal diary system (Yesplan) for inhouse productions and visiting companies.
  • Sending show information and scripts to cast and creative team members as required.
  • Attending rehearsals and performances as required.
  • In conjunction with the Theatre General manager, ensuring all new starter paperwork is completed and returned to HR and/or payroll including right to work checks, chasing agent and staff as necessary
  • In conjunction with all production departments keep Xero (financial systems) up to date as require within the parameters of the role.
  • In conjunction with the Theatre General Manager in preparing contracts and new joiner paperwork for all actors, stage management and production staff as required
  • In conjunction with the Theatre General Manager in preparing contracts for visiting productions, room bookings and rentals as necessary.
  • In conjunction with the Theatre General Manager collate information on recharges and contracts for productions and inputting details into Yesplan for the inclusion in settlements.
  • In conjunction with the Theatre General manager to organise travel, produce itineraries, book tickets, and arrange accommodation and per diems for artists where required.
  • Managing storage and filing of all written agreements in a secure, accurate and logical fashion and ensure only the relevant staff have access to such agreements as needed.
