We are seeking a talented and motivated Events and Traffic Coordinator to support the Branding & Communications team with the delivery of projects through coordinating activities and performing administrative tasks including event coordination.


Responsibilities of the role:


Brief coordination, resource planning and reporting:

  • Track and follow-up on allocated work and work orders with internal and external stakeholders / service providers to ensure timely delivery and identify and escalate risks to project and event delivery.
  • Update project and event management tools and systems to enable effective reporting.
  • Communicates risks to event management, mitigating actions and follow up on completion and progress required to manage the team and stakeholder expectations.
  • Perform general administrative and coordination activities to support the effective delivery of traffic management services.
  • Updating, distributing & storing of all Branding documentation to ensure that the documentation is up to date and easily accessible.
  • Plan, coordinate and report on assigned internal branding events to ensure seamless running of events.

Planning & Direction:

  • Estimates the effort required for own work to enable effective planning.

Knowledge, Practices & Continuous Improvement:

  • Identifies issues, risks and improvement opportunities related to the team's traffic management practices (processes, tools, methods, standards) and makes recommendations to support continuous improvement.
  • Reviews process performance measures and recommends improvement initiatives to improve delivery.

Stakeholder Management:

  • Follow up with stakeholders to obtain required approvals and provide feedback on query resolution.

Technical Outputs:


  • Skilled in delivering an event that meets the intended brief.
  • Knows the responsibilities of service providers in the delivery of events.
  • Knowledge of the technology requirements (inperson or online) for hosting events.
  • Knowledge of regulatory requirements (including health and safety) for hosting inperson events.
  • Experience in brand guidelines for events.
  • Knows the correct protocols to invite attendees.
  • Experience in tracking costs for events.
  • Sound skills in systems and tools used for recordkeeping and reporting.
  • Sound knowledge of administrative processes.
  • Knows the regulations and rules that should be adhered to when following administrative processes.
  • Skilled in producing reports according to reporting requirements

Requirements:


  • 24 Years of experience in event management, events coordination or similar
  • Project/Events Management certification would be really beneficial. However, it isn't a must have.
