The Role Responsibilities

Strategy:


  • Support FM and the wider dealing room across core London hours, assisting in daily BAU tasks as well as wider projects as requested by FM management
  • Support the Business Operational Risk Managers & Dealing Room Manager on the operational efficiency and security of the dealing room in London
  • Identify and take responsibility for additional administrative responsibilities with the support of the wider team for the purpose of increasing the productivity
  • Prioritise and act proactively to take ownership and manage tasks/projects from start to finish using strong organisational skills, with the ability to multi task while remaining calm and professional
  • Use excellent interpersonal and communication skills (both written and verbal) to deal confidently with global teams and senior management, both internally and externally

Business:


  • Organising travel itineraries including booking flights, car pickups, accommodation, and prepare/submit visa requests, booking restaurants etc.
  • Processing of expenses; ensuring the Gifts & Entertainment register is updated within the parameters of the policy
  • Raise and manage IT and Telecom requests via SRM and Infomatch; follow up on requests accordingly
  • Book meeting rooms (and if necessary refreshments), video conferencing and conference calls.
  • Distribution of post and arranging the booking of DHL & local couriers;
  • Onboard new joiners / Offboard Leavers and mover out by raising system accesses and software through SRM system
  • Organise printing where necessary
  • Onboard new vendors for invoicing and raise purchase orders where required
  • Notify stakeholders of international visitors and complete visitor forms
  • Work with Sales team on client events and entertainment as well helping organise client roadshows
  • Support BORM & DRM on various requests regarding the operational efficiency of the London dealing room
  • Be point of contact and act in accordance with other ad hoc requirements

  • Willingness to work with any local regulators in an open and cooperative manner
