The Pensions Ombudsmanhas an opportunity for an Executive Assistant to join our team based in
Canary Wharfwith agile working in accordance with the policy. You will be working
full or part-time basis on a
permanent contract. You will receive a
competitive salary of £31,000 per annum.

Who are we?


It is an exciting time for TPO, with additional funding enabling a significant expansion of our staff numbers from around 150 and adopting new ways of working to manage an increased demand for our service.


As a totally independent body, not part of the pensions industry or government, we investigate and make decisions when someone has been unable to resolve a complaint about how their pension has been managed.

Our service is free, but we have legal powersto make decisions that are final, binding and enforceable in court.


Our work can be challenging and high-profile, delivering a fair outcome for the individual and highlighting where the pensions industry can improve.

Focusing on the facts, we must be balanced, fair and totally independent.


About the role of Executive Assistant:
The role will administratively support three managers within

Corporate Services:

Communications Manager, Engagement Manager and the Governance and Assurance Manager in implementing TPO's Communications, Engagementand Insight Strategies as well as providesupport in all governance matters to support delivery of the organisation's aims and objectives.


Reporting to the Stakeholder Engagement and Insight Manager you will play a key role in supporting the design, delivery and evaluation a series of communication and engagementplans and activities that ensure TPO's work, priorities, values and ambitionare clearly communicated and understood, within and beyond the service.


This will cover the full range of communications, engagement and insight including digital communications, internal communications/engagement with staff and volunteers, media relations, events organisation and external stakeholder and customer engagement.

The role will work under the guidance of the Governance and Assurance Manager to provide day to day administrative support to the Executive and Corporate Board, which currently consists of the Chair, the Pensions Ombudsman, the Chief Operating Officer, theLegal Director and four Non

  • Executive Directors. The workload is large and varied and you will manage busy diaries.

Essential experience: High level of experience in supporting managers; managing busy diaries and providing administrative support organising meetings_

Reporting to the Stakeholder Engagement and Insight Manager and working closely with the Communication Manager and Governance and Assurance Manager, you will:


Engagement, Insight and Communication:


  • Commission, edit and create accurate and well written content in different formats for the website, intranet, social media, press, internal and external newsletters and corporate publications.
  • Assist administratively with the delivery of projects and stakeholder events.
  • Monitor and evaluate communications outcomesand engagement levels such as website usage and media coverage using a range of measures including surveys and google analytics to provide insight.
  • Deal with media enquiries and develop excellent relationships with relevant external stakeholders including journalists. Maintain a central contacts database.
  • Assist with the organisation and execution of a calendar of internal (and external) events.
  • Coordinate requests for external speaking engagements and any necessary briefings.
  • Liaise with colleagues and senior managers to maintain and update a central communications planner.
  • Work collaboratively with the Engagement Manager to assist administratively with the delivery of the Communication and Engagement Strategy.
  • Support administratively to the development of a digital strategy and publish regular content online including social media.

Governance:


  • Under the guidance of the Governance and Assurance Manager provide daytoday PA and administrative support to the Corporate Board and Executive
  • Managing busy diaries, arranging meetings, drafting correspondence
  • Under direction of the Governance and Assurance Manager, diarise meetings,organise and track agenda items, collect papers and ensure timely despatch of Board papers.
  • Provide help and support to the Governance and Assurance Manager, when needed in the preparation of board papers, agendas and forward plan and action log.
  • Under the direction of the Governance and Assurance Manager, ensure timely distribution of board papers.
  • Provide administrative support in the organisation of other meetings, including SLT e.g. arranging refreshments, room bookings, arranging visitor passes.
  • Provide administrative support for Oral Hearings,e.g. paper coordination, arranging refreshments, room bookings, coordinating IT provision and arranging visitor passes.
  • Ensure that the Chair, the Pensions Ombudsman, NEDs and Exec feel prepared for all meetings
  • Deputise for the Governance and Assurance Manager with minute taking as necessary.
  • Any other reasonable duties as required.
