Base Pay:
$15.49 Hourly


SUMMARY:


Performs a variety of clerical, secretarial, and administrative duties in support of the Patrol, Investigation, Narcotics, and Warrant sections of the Sheriff's Office.

Enters and retrieves reports from the Central Records Management System, including bonds, traffic offenses, fugitive warrants, and subpoenas.

Must learn specialized records and scanning software, as well as state and national criminal information systems.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


The Central Records Clerk is responsible for all clerical, secretarial, & administrative duties for the Patrol, CID, Narcotics, and Warrants sections of the Sheriff's Office.


Typical duties include the following:

Receives offense reports, traffic accident reports, and incident reports.

Enters this information into the Central Records Management System (CRMS).

Prepares folders for filing of reports.

Files all file folders containing reports in the Central Records record storage system.

Files all other subsequent follow up reports, witness statements, photos, etc. in the appropriate files.

Processes requests from deputies for internal records to be used in court trials, etc.

Enters all traffic citations into the CRMS with all additional profiling data as required by the State.

Files all class C citations with the appropriate Justice of the Peace office.

Receives mental health warrants and patient information and refers the documents to deputies.

Prepares monthly work schedules as directed for each office.

Prepares administrative statistical reports as required.

Types all internal & external correspondence, as required by supervisors.

Processes Open Records requests, as required, for citizens, insurance companies, etc.

Runs daily bond reports from the mainframe computer.

Processes all bonds from the jail in reference to the bond reports.

Delivers bonds to the clerks in the various courts.


Forwards all District Court, County Court, and Justice of the Peace subpoenas to deputies in the appropriate sections of the Sheriff's Department, for service.

Enters subpoenas via computer and assigns them to deputies or precincts.

Make copies of subpoenas for service and enters returns on service of subpoenas.

Enters warrants from local courts into the main computer and distributes them to deputies.

Enters returns on service of warrants into main computer.

Scans warrants into the Imaging System.

Confirms warrants for outside agencies.

Processes warrants from out-of-county jurisdictions into the main computer.

Processes returns on service of out-of-county warrants.


Confirms arrests and identities and makes arrangements for transport of all defendants arrested outside of Nueces County back to this jurisdiction.

Makes arrangements for transport of inmates on bench warrants from Nueces County back to facilities where they came from.

Confirms active warrants entered into TCIC/NCIC system as required by the state TCIC system, on a monthly basis.

Operates fax machines, copiers, scanners, adding machines, and law enforcement radio.


Answers all phone calls and transfers or takes messages for the appropriate section delivers messages to the appropriate supervisors and personnel.

Greets and directs the public to the correct offices.


Performs other clerical duties as required, including filing, indexing, and recording information, making copies, sorting and distributing mail, providing notary public services, etc.

Purchases and picks up office supplies, as requested.

Receives periodic training on, and maintains a working knowledge of:

  • County warrants/jail software;
  • County Document Scanning System;
  • State and National TCIC/NCIC Systems;
  • Central Records Management System.

QUALIFICATIONS:

Any employee who drives a vehicle on official business must have a driving record which meets standards set by the County and the County's insurance carrier.


EDUCATION and/or EXPERIENCE:

  • High school diploma or general education degree (GED) with courses in typing,
  • Plus a minimum of two (2) years of responsible clerical work experience, preferably with a governmental entity;
  • Or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence.


MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
