About the role:


This role offers the opportunity to join Attivo at an exciting time, directly supporting an Associate Director (Financial Planner) to ensure the efficient delivery of lifestyle financial planning to clients of Attivo.


As the Senior Administrator, you will be responsible for ensuring our Associate Director and their support team are fully equipped to deliver client meetings at the highest standard, providing an efficient and responsive administrative support, helping to manage and prioritise time and ensuring actions are completed in a timely manner.


About you:

You're an experienced administrator, having previously supported an Independent Financial Advisor. You are organised and proactive, ensuring work is completed within set time frames. You have a track record of providing exceptional client service and you have excellent written and verbal communication skills.

You are a relationship-builder, and actively position yourself as the go-to person for support. You prioritise client experience and have excellent interpersonal skills.


You are able to work on your own initiative and manage the diaries of multiple team members to ensure that work is completed and client needs are met.

Your hold exceptional accuracy and attention to details skills, and are able to maintain up to date records both internally and with third party providers.


Key Responsibilities include:


  • Coordinate diaries of the Associate Director and supporting Associate/Trainee Financial Planners, delegating work to team to ensure capacity is managed.
  • Book in and arrange client meetings, sending confirmation to client and setting up meetings on Intelliflo.
  • Update and maintain client records in our back office and provider systems
  • Providing full administrative support to the Associate Director, including producing letters, reports as required.
  • Be key contact point for clients for general queries and provide ongoing support to Associate Director where required, be proactive and use initiative to collectively deliver the very best in client experience.
  • Monitor workflow of team and ensure work is completed in a timely fashion.
  • Providing an excellent client experience to all clients of Attivo, communicating in writing, over the telephone or in person.
  • Ensuring all systems, including Intelliflo, are in a timely manner.
  • Ensure that all Lead, organic prospect and existing client relationships are managed effectively, with the support of our Client Engagement team
  • Proactively maintain an uptodate knowledge of the business processes and service offerings to our clients.
  • Provide project support to the wider business as required to support with business changes and growth.
  • Collate, process and monitor the required documentation to ensure new business is successfully implemented.
  • Process withdrawals and ensure the funds are paid to client in timely fashion while keeping client up to date.
  • Deal with general plan maintenance for example, deceased clients, change of address, Letters of Authority etc.

Essential skills and experience

  • 3 years' experience in a similar role, working in the Financial Advice sector or for an IFA
  • Holds or working towards Diploma in Regulated Financial Planning
  • Existing knowledge of Intelliflo or a similar customer relationship/financial management tool
  • Excellent interpersonal, listening, numerical and IT skills
  • Ability to work on own initiative
  • Professional, ethical, and discreet
  • Ability to build and maintain ongoing client relationships.
  • Ability to work well under pressure whilst maintaining excellent attention to detail.
  • Minimum 5 GCSEs, or equivalent, graded A-B (6), including Maths and English

Desirable skills and experience

  • Client facing experience

Salary and benefits
Up to £35,000 depending on experience and qualifications (negotiable)
