Job Profile


To support the smooth and effective management, administration, and coordination of CAFOD's work in the Latin America and Caribbean region.

The LAC team works to promote long-term development, humanitarian responses and advocacy, working alongside the poorest communities to strengthen their effectiveness and amplify their voice in the struggle for social justice, human rights and development across the region.

The scope of the post falls into the following broad functions:

Support and co-ordination: supporting the Head of Region in the co-ordination of cross-regional work and relevant organisational processes, including information management, planning, reporting and budgeting.

Programme & financial support:supporting the Head of Region in the management of any cross-regional partnership projects/programmes, including correspondence with partners, approval and payment of grants, appraisal, monitoring and reporting, ensuring compliance with CAFOD integrity policies and the maintenance of project files;

Communications: supporting the effective communication and flow of information across the regional team and with the rest of the organisation, including acting as a key point of contact for information on the region's work;

Administration: providing administrative support to the Head of Region and the regional team, including correspondence, information systems, and induction, among others;

Representation: of the region across CAFOD and occasionally externally, as requested by the Head of Region.


Job Scope


The post holder will work as an integral part of the Latin America and Caribbean regional programme team
. The post holder will be responsible for building effective working relationships with peers across the International Programme which covers long-term development programming as well as humanitarian and programme support.

The role has also a number of cross-organisational functions linked to work with CAFOD's Fundraising, Finance, Education, Media, Policy and Advocacy teams.

The post may require some international travel.


Accountability
The post holder reports to the Head of Region - Latin America and Caribbean.


Key Responsibilities

Support and co-ordination:


  • Support and coordinate the region's responsibilities towards relevant organisational and departmental processes and initiatives, including planning, and reporting (e.g. quarterly and annually);
  • Maintain and monitor crossregional budgets and financial statements, working with the Head of Region on monthly budget updates, quarterly and annual financial reviews;
  • Support the creation and maintenance of a strong team identity, fostering learning and a shared understanding of relevant issues. This includes organising and facilitating online and facetoface meetings of regional staff;
  • Coordinate relevant monthly section team meetings, and adhoc meetings between members of the regional team and colleagues across CAFOD;
  • Keep a watching brief on security issues/concerns in the region, and highlight emerging concerns to the Head of Region, monitoring Country Security Plans within the region to ensure they are kept uptodate;
  • Work with regional staff (particularly overseasbased) to ensure that there is a good level of understanding of CAFOD's operating systems, policies and procedures, and where necessary provide training and induction.
  • Research, identify and promote coordination with relevant networks, including Caritas, CIDSE and other global or regionspecific networks, as agreed with the Head of Region and/or Country Representatives;

Programme & financial support:


  • Work closely with the Head of Region in the management of a portfolio of crossregional partnership projects/programmes, including institutionallyfunded ones, by managing correspondence with partners/donors, approval and payment of grants, monitoring of reporting schedules, and the maintenance of paper and electronic project files;
  • Monitor, maintain and update the regional grants and operational budgets in consultation with the Head of Region;
  • Support the Head of Region in the provision of feedback to partners, by appraising proposals, narrative and financial reports, and conducting visits to crossregional partners in support of ongoing programme management;
  • Promoting programmatic linkages across the region, identifying opportunities for exchanges between partners and with colleagues from other regions, where appropriate.

  • Support the effective flow of information and communication within the regional team and across CAFOD;
