Interim Executive Support Assistant

Pay rate £20.06 per hour PAYE

This opening assignment is for 3 months To provide reliable, confidential and proactive administrative support to Directors including: extensive diary and inbox management; taking accurate meeting notes; acting as a key interface between Directors and internal and external stakeholders; ordering and maintaining supplies.

To work collaboratively with the wider Executive Support Team, providing cover for colleagues as necessary Key responsibilities:


  • To provide proactive, reliable and confidential administrative support as needed: extensive diary and inbox management; taking accurate, concise meeting notes with actions clearly defined; acting as the key interface between internal and external stakeholders; anticipating the needs and responding accordingly.
  • To work collaboratively within the Support Team, providing cover for colleagues, sharing best practice, experience and expertise with the aim of delivering a resilient and flexible service.
  • To assist in administrative duties across the Office as required, including ordering and maintaining supplies using the Council's financial management system (CedAr)

"Role Requirements" - to give yourself the maximum chance of success please try and ensure your CV addresses the following essential criteria:

  • A comprehensive working knowledge of secretarial and administrative systems applied within a large, diverse and dynamic organisation
  • Experience of providing secretarial and high level administrative support to a Politician, Chief Officer, Director or Senior Manager
  • Experience of attending high level meetings, taking accurate notes and recording actions to ensure that any follow up work is pursued and monitored.
  • Experience of dealing with highly sensitive and confidential issues.
  • Proven experience of providing a range of support services including diary and inbox management, drafting letters, answering phones, dealing with a variety of stakeholders (e.g. customers / clients / residents as well as senior managers and a range of departments and organisations).
  • Experience of working in a pressurised environment
  • Excellent communication skills both written (correspondence, drafting reports) and verbal (over the phone, liaising with colleagues and senior managers); able to work well as a part of a team.
  • Adaptable and flexible: embraces change and adapts successfully to changing situations and environments.
  • Ability to take the initiative, anticipate the needs of the Mayor and Cabinet are supported and deal with situations in their absence; delegate work on behalf of the Mayor and Cabinet to Directors and their senior managers

If you are successful in securing this role, please note that for the entire duration of this contract, regardless of extension you will be working this role at the PAYE rate that has been advertised.
