We are seeking a Receptionist to provide effective reception service for the site. To provide administrative support to the Administration Manager, Administration Secretary, and other departments within the Company as required.


The key accountabilities of the role will include:

  • Ensure that all incoming calls are connected speedily and accurately.
  • Keep uptodate records of frequently used telephone numbers.
  • Creating Purchase Orders for invoices using Dynamics 36
  • Distribution of incoming/outgoing post for all employees on site, date stamp invoices, sales orders, and acknowledgements. Responsible for ensuring franking machine is kept in credit.
  • Keep up to date with postal rates and services provided. Keep accurate records of postage used daily. Complete paperwork for special delivery packages.
  • Assist with the process of arranging for documents/items to be couriered.
  • Dealing with visitors efficiently and always ensuring Health & Safety is a high priority. Ensuring visitors are correctly signed in on arrival, issuing of visitor's badges/Hi Vis, and required documents completed.
  • Where visitors are contractors who are fulfilling orders, or undertaking maintenance, liaise with appropriate personnel and direct accordingly.
  • Direct deliveries of goods inwards to Stores.
  • Assist with the preparation of meeting room for Board/Executive meetings.
  • Book taxis for site personnel/visitors when required.
  • Assist the Administration team in completing daily tasks.
  • Undertake other duties as may be required from time to time from different departments within the company.

The main requirements of the role will include:


Knowledge/Experience:


  • Minimum 2 years' experience in reception/administration role within a large organisation.

Skills:


  • Firm knowledge/experience in the use of Microsoft Office (Outlook, Word, Excel, PowerPoint, and AX).
  • Excellent telephone manner.
  • Good oral and written skills.
  • Strong administration skills.
  • Able to multitask, excellent at time management.
  • Must observe confidentiality at all times.
  • Team player who is hard working, flexible and reliable.
  • Undertake continuous selfdevelopment so that the responsibilities of the role are fulfilled.

Qualifications:


  • GCSE/NVQ with English and Maths.
