Executive Assistant's to the Lord Chancellor's Private Office (up to 3 posts available)

We are recruiting for three Executive Officers (EOs) to work in Office of the Lord Chancellor and Secretary of State for Justice.

The three roles we are seeking to fill are:


  • Executive Assistant to the Special Advisers (SpAds);
  • Executive Assistant to the Principal Private Secretary (PPS); and
  • Executive Assistant to the Office of the Lord Chancellor.


This campaign is being run externally and so is open to all who consider themselves suitable for the roles and meet the eligibility criteria in the wider advert within Civil Service Jobs.


Location
1. 102 Petty France, London


Given the nature of these roles, you would be expected to attend their base location (102 Petty France) at least 4 days a week, but this could be discussed once appointed.

We would be able to discuss the frequency once appointed.

This hybrid working arrangement is not contractual and as a result staff could be asked to attend their base location more frequently.

Salary
New entrants to the Civil Service will be expected to join on the minimum of the pay range.

The Role and Purpose of the Three Roles

Executive Assistant to the Special Advisers


We are looking to recruit a diary manager for the Special Advisers in the Private Office for the Lord Chancellor and Secretary of State for Justice.

The work is fast-paced and sits at the very centre of the Department and close to key decision making.

It requires the ability to adapt to new information, constantly reprioritise and work closely with various stakeholders across Private Office, MoJ and externally.

This role will give you the autonomy to lead on exciting areas and learn how a Private Office works.


Key responsibilities include:


  • To provide an efficient and comprehensive diary management service to the three SpAds. Exercise excellent judgement and flexibility in managing potential conflicting diary issues in a tactful and sensitive manner.
  • You will be given the opportunity to provide APS support to the SpAds as well as diary management responsibility.
  • Responsible for organising meetings and making travel arrangements when required. Attend regular meetings to coordinate diaries, agree priorities and monitor workloads.
  • Work as part of the Private Office team, supporting the dayto day operations of the wider office through flexible and effective team working, to provide an efficient, accurate, confidential, and comprehensive service.
  • Providing additional support to the team on shared tasks and other duties that would reasonably sit within the portfolio. All roles across the team are expected to be flexible to respond to emerging priorities. Supporting the Private Secretary as and when required.
  • Responsible for leading on all incoming WRs to ensure the department responds in a timely manner with the help of the WR team. This responsibility will give you valuable experience because you will be responsible for putting any WR responses to the Lord Chancellor for review.
  • Responsible for overseeing SpAds review process of FOIs.
  • Responsible for overseeing the various appointments that the LC and SpAds have to review.

Executive Assistant to the Principle Private Secretary


You will work in a fast-paced and exciting environment where you will need to anticipate and resolve issues, prioritise competing demands and successfully support your Senior Leader so they are able to deliver their responsibilities.
