Salary:
£(phone number removed) hours per week (Monday to Friday, 09:00 - 17:00)

Part-time hours (minimum of 34 per week) and hybrid working patterns would be considered

Our client is now seeking an Executive Assistant to work closely with the Directors to provide
administrative and organisational support.

You will be trustworthy, and work will be handled efficiently with discretion and confidentiality.


Key responsibilities

  • Organising all aspects of senior level meetings and functions
  • Maintaining an ongoing record of future agenda topics for the range of Management and Board meetings
  • Attending meetings to take minutes, preparing accurate and succinct minutes and actions and sharing these in a timely manner
  • Approving leave requests from the Management team in discussion with the Director's ensuring this will not impact on other diary commitments and moving these where necessary
  • Preparing slides and drafting content for Director's communications including for whole company meetings, internal newsletters and Director's updates
  • Monitoring the submission of Management and Board reports to deadlines, collating these for the Directors and following up late submissions. Providing support to the management team to meet these deadlines where appropriate
  • Arranging travel, visas and accommodation for the Directors where appropriate.
  • Meeting and greeting visitors to the Directors
  • Managing diaries by scheduling and prioritising appointments and travel arrangements
  • Managing correspondence, track incoming and outgoing correspondence and ensure replies are produced within the required timeframe
  • Read and prioritise incoming correspondence and prepare draft responses as appropriate
  • Collate and prioritise queries for the Directors to be addressed in a daily scheduled meeting

Key Requirements
3+ years experience working as an executive assistant is essential. A diploma, completed apprenticeship or degree in business or management are desirable. If this is not present, then a proven track record in an administrative, secretarial or PA role are required.
In addition to relevant experience and secretarial and administrative knowledge, you'll need to show

evidence of the following:
- exceptional written and oral communication skills
- excellent word processing and IT skills, including knowledge of a range of software packages
- the ability to work under pressure and to tight deadlines
- good organisational and time management skills
- the ability to research, digest, analyse and present material clearly and concisely
- excellent interpersonal skills
- the ability to work on your own initiative
- honesty and reliability
- attention to detail
- discretion and an understanding of confidentiality issues.

  • Experience of operating confidently at a senior level, within a highly confidential environ ment, exercising tact, diplomacy and complete discretion
