Description
A specialist IP law firm is looking for an IP Records and Formalities Supervisor to join their Sevenoaks office.


Role profile


You will oversee the day-to-day duties of the records team, assisting in distributing work, cross training staff, helping with queries and day-to-day issues.

You will help to write/review/edit clear documentation defining processes within the Records teamand beyond in the wider firm.

You will also be heavily involved in the larger projects taken on, and assist with the records processing and procedural sides of these projects when needed (including, e.g., revising processes as a result of changes in the law,and ensuring that software upgrades and changes run as smoothly and safely as possible).

A willingness to embrace change and a keen eye for seeing improvements to process and other efficiencies. A want to drive positive change within Records and the firm.

You will manage the team in the absence of the Records Manager.


You will work within the Records team and have responsibilities including, but not limited to, day-to-day updating of new case information, diarising due dates and general assistance within the records team.

You have experience in these areas to high leveland competent to stand in on any section within the records team.


Required Key skills
5 years IP experience minimum.

Some level of people management preferred.

Ability to see and understand staff members' skills, weaknesses, and assist with their improvement.

Experience with delegating work throughout a team on a frequent basis.

Experience within GB, EP, PCT and foreign patents updates.

Experience and knowledge of Trademarks and Designs.

Experience with Inprotech (Web and Client server) and DMS systems preferred.

Experience in creating and running basic reports within Inprotech.

Experience in testing Inprotech upgrades and system changes.


Experienced with working to tight deadlines and under pressure with the ability to juggle complex workloads on an ever-changing set of priorities.

Experience in diary management and understands the importance of deadlines.

Motivated and organised individual.

Good solid office administration, client service experience is preferred.

Used to working in a fast paced and time pressured environment.

Ability to liaise with internal and external clients and are happy to talk to individuals at all levels.

Good typing speed, proof reading abilities and a good grasp of written English and grammar.

Computer literate and competent with the Microsoft Office suite (Word/Excel/Outlook).

Competent team worker and happy to work in open plan environment.

Thirst for a new challenge and able to learn and develop rapidly.
