About the Role BJSS's Newcastle Office is a fast growing, digital delivery hub. Having recently moved into a larger office space, we are looking for an Office Co-Ordinator to help run this space and work with the leadership team to build a fun, engaging environment fortheir colleagues.


This is a part time role of 22.5 hours (3 days) per week (Monday-Friday) and will be 100% office based.


Roles and Responsibilities
The Office Coordinator will report into their local Leadership Team and will be supported by the Regional Operations team.

The Office Coordinator will have the opportunity to be involved with the following:


  • Office Environment & Facilities_
  • Coordinating maintenance/cleaning contractors to ensure the office space is clean and presentable
  • Liaising with Accounts to set up suppliers on our internal payment system
  • Building relationships and liaising with building management / landlord
  • Providing adhoc assistance to staff within the office / working remotely
  • Ensuring the office is supplied with stationery and refreshments for the team
  • Working with IT to ensure we have enough equipment in stock
  • New Starters_
  • Onboarding new starters in person, making them feel welcome and have a great induction into the firm
  • Making sure all new starters have the relevant kit for day one, along with an induction schedule
  • Liaising with the Central Operations and IT team to ensure all new starters are setup and onboarded without any issues
  • Events Management_
  • Organising and planning fun and engaging events for the team throughout the year including Quarterly office updates, Xmas party and Summer Strategy event
  • Working with budgets set by both local and central teams
  • Office Security and Safety_
  • Liaising with building management to ensure all security and safety requirements are communicated and adhered to
  • Issuing passes and lanyards to guests and new starters
  • Ensuring an adequate number of colleagues in the office are trained Fire Wardens and/or First Aiders
  • Helping with risk assessments for the office space / events are kept up to date
