What is the team like?

What are the key responsibilities?

Welcome clients and visitors, arranging drinks and catering where required
Answer and transfer incoming telephone calls
Process and distribute incoming and outgoing post
Maintain office supplies (e.g. stationery)
Manage meeting room and car park diary
Point of contact for office maintenance/contractors and building management, including representing the firm at tenants meetings and arranging access passes
Organise internal and external events
Archiving and retrieval of files and documentation
Maintain kitchen areas, including coffee machine and supplies
Organise video conferences between offices and external contacts/connections
Undertaking mailshots as and when required
Assist in the preparation, checking and dispatch of reports and presentation material as required
Liaise with clients, charities and intermediaries as required
Provide additional administration support to all teams
Central data administration
Contribute at team meetings, providing thoughts and opinions on matters
Acquire and maintain industry and regulatory knowledge
Encouraged to speak up and contribute to changes/enhancements to processes
Undertaking ad hoc projects

What skills and knowledge are we seeking?

Strong communication skills, verbal and written and confident in all levels
Professional telephone manner
Strong organisational skills
Aptitude & ability to learn about internal systems
A flexible attitude to work in response to changing workloads and deadlines within and across teams
Selfmotivated/Proactive
Attention to detail
Exercise knowledge, judgement, and initiative in the performance of all tasks
Decision making and problem solving
Understanding and awareness of the business and industry
Excellent working knowledge of Microsoft packages
Working knowledge of Pulse & Fiscal is desirable but not essential
