The outpatient nursing management team is looking for its next administration assistant.

This busy, varied and rewarding role provides comprehensive admin support to the team of nurses who manage the outpatient department.


Day to day you will support the delivery of patient care through the release of nursing time from the team.

You will be responsible for diary management, agendas and minutes for a variety of meetings held by the team. Attention to detail and deadlines is key.

Through use of a variety of computer systems you will help support the ordering of stock and the approval of invoices.

The job role varies every day.

We ask that you are willing and able to work from the Lincoln Hospital site as required/requested to support the team with tasks requiring your physical presence.

The option to work entirely from the office is also available where you will have access to a designated desk.

  • To provide an efficient and professional administrative support to the outpatient management team.
  • The provision of an efficient diary management service to the outpatient management team.
  • Responsible for typing letters, reports, invites and minutes.
  • Performs a variety of office related tasks as required.
  • Organise, prepare and circulate appropriate communications (agendas, minutes, safety briefings, alerts etc.) to outpatient teams and meeting attendees as necessary.
  • Basic data analysis using a range of software including Microsoft Excel. Input data as required into a variety of software and systems.
  • Assist the outpatient nursing teams in maintaining HealthRoster, with particular emphasis on updating the skills matrix from training records.
  • Maintain confidentiality of patients and personnel at all times in line with Information Governance policies.

Responsibilities for direct/indirect patient care:


  • The post holder will have contact with patients in and around the hospital who may require help and assistance with directions.
  • In exceptional circumstances the post holder may be involved in the delivery of basic life support (CPR) until advanced help arrives.

Responsibilities for policy and service development implementation:

  • Responsible for developing the role and contributing to the implementation of new procedures.

Responsibilities for financial and physical resources:

  • Responsible for using resources appropriately taking into account cost effectiveness.

Responsibilities for human resources (including training):

  • Responsible for maintaining own mandatory learning up to date at all times.
  • Responsible for assisting outpatient nursing teams to maintain the skills matrix on HealthRoster.

Responsibilities for information resources (including systems access):

  • Organises, prepares and circulates information (minutes, agendas, reports) to the necessary teams/attendees.
  • Uses electronic calendars to arrange meetings

Responsibilities for research and development:


  • Supporting the undertaking of surveys as required.
