Oakdale also provides a wide range of psychological therapies for children, young people and adults. Many of our services are commissioned by the NHS, Local Authorities and schools, and include services for NHS staff.

Others are accessed by members of the public who pay for them privately, through medical insurance or through our charitable arm.


Oakdale has Clinical Centres in Harrogate, Leeds and Halifax and also delivers services from other consulting rooms in the North of England and remotely on a nationwide basis.

MAIN PURPOSE
The Receptionist is a core post in the Oakdale Centre.

The role is pivotal in ensuring the smooth day-to-day running of a busy counselling centre, providing services for a diverse range of clients.

This role is responsible for the day-to-day organisation of the Centre, including all administrative tasks.


MAIN RESPONSIBILITIES
1) Administration

  • To answer the front door and direct clients to their therapy room
  • To answer the telephone, take messages, make or rebook appointments, and assist Oakdale's clients and therapists with the organisation of appointments
  • To take on a busy administration workload helping Oakdale and Oakdale's therapists process their caseloads
  • Being a first point of telephone contact for clients
  • Taking client information and enquiries
  • Managing therapist's diaries
  • Inputting information onto Oakdale's client database
  • Processing case administration within this system
  • Assisting in the set up and administration of continuing professional development training courses and providing general support for the management team
  • Take credit card payments
  • Check the building and lock up at the end of the shift, including setting the alarm
  • To provide health and safety support assistance with facilities management, including recording any relevant issues and then reporting them to the centre manager and appropriately resolving them.
  • To ensure that all policies and procedures are adhered to, kept up to date and reviewed.
  • To ensure the building is kept securely at all times and complies with annual health and safety regulations at all times.
2) Finance

  • To ensure that client payments and petty cash are appropriately handled.
  • To liaise, as necessary, with the accounts team on invoicing and other financial matters when required.
General Duties

  • To be an integral staff team member of the centre team and contribute to its positive reputation and development.
  • To attend appraisals and training, when required.
  • To comply with the requirements of the centre's policies and procedures.
  • To undertake occasional evening/weekend work.
  • To undertake housekeeping duties as required.

About you

  • Administration experience
  • Excellent written and verbal communication skills and good telephone manner
  • Able to work on own initiative and to tight timescales
  • Proactive, organised, methodical, accurate, strong attention to detail
  • The ability to build effective relationships, inspiring trust and confidence within the organisation and externally
  • General education to GCSE / Equivalent Grade C or above.
  • High level of personal and professional commitment
  • Experience using a database
  • Good telephone manner

Salary:
£24,500 - £27,500 (pro rata)


Hours:
Part time hours: 8.30 AM pm Monday

  • Friday
**Working Pattern: Mon, Tues, Wed, Thurs, Friday
