Description
We are looking for someone with positive 'can-do' attitude and a good sense of humour.You must be full of enthusiasm and have exceptional attention to detail, as well as having a strong desire to learn, and communicate positively with customers, suppliers and colleagues alike.
Teamwork within the admin office/depot is paramount and you must be able to mix and communicate with a wide variety of people, from all walks of life.
You will have the ability and experience to manage multi-tasking with ease, maintaining complex schedules and managing a variety of administrative-support duties, to strict deadlines (and enjoy working under a degree of pressure).
Duties for the Workshop Administrator Role:
- Answering the telephone and dealing with scheduled vehicle maintenance/breakdown enquiries
- Scheduling mobile mechanics' workload
- Running weekly vehicle 'overdue' reports
- Liaising with external repairers to ensure preorganised work is complete
- Obtaining paperwork from external suppliers
- Monitor vehicle compliance dates on the system
- Scanning vehicle history compliance paperwork on to the system including MOT certificates etc
- Carrying out warranty invoicing and retail invoicing
- Contacting customers and providing repair updates and gaining repair authority
- Reviewing current 'work in progress' and liaising with the Workshop Manager
- Creating estimates for repair authorisation
- Carrying out daily VOR reporting
- Responsibility for and controlling vehicle compliance, service schedules and maintenance programs
- Checking the manufacturer system for information on vehicle contracts, history and recalls
- Liaising with the Workshop Manager on customers' requirement feedback
- Raising job cards and issue to Workshop Manager
- Liaising with internal departments as required
