About the role
Essential Job Functions
- Respond promptly to customer enquiries ensuring to follow up where necessary,
- Supporting colleagues and managers as necessary to assist with site operations and needs,
- Photocopying, scanning and filing,
- Take pride in and ensure the office is always presentable,
- Greet residents/contractors,
- Carry out team administration tasks such as submitting staff timesheets, uniform and cleaning orders,
- Creating signage and posters for the estate,
- Writing letters to residents where necessary,
- Inputting meter reading onto the IT Software,
- Arranging access to buildings for staff and contractors and taking responsibility for the key storage system,
- Undertake all reception desk duties as necessary for the successful operation of the site,
- Ensuring permit to work/hey signature and signing in books are up to date/checked to ensure health and safety compliance is met.
- Previous administrator or receptionist experience,
- Strong communication skills,
- Attention to detail and accuracy,
- Adaptability and ability to problem solve as new scenarios arise,
- Initiative and organisational skills,
- Strong customer service skills,
- Be skilled in MS Office and otherwise IT literate,
- Be able to demonstrate an open, friendly, proactive mind as well as to have an approachable attitude, with the ability to work on their own initiative along with working in a team,
- At all times follow safe system of work procedures set by the company
- At all times ensure structured processes relating to health and safety and hazards at work are followed,
- At all times ensure that correct lines of reporting followed in relation to safety at work.
