Our Family & Specialist Services Division is looking for a dynamic caring individual to provide administration and scheduling support to the secretarial and scheduling team.


The post holder must have a flexible approach to their duties, as will be working within a busy yet very supportive and forward-thinking team.


This role provides the opportunity of working with a wide range of staff within the organisation and support the provision of outstanding compassionate patient care.


In addition to compassionate interaction with patients and their relatives, the post holder will be an effective communicator with both internal and external, Clinical and Non-Clinical colleagues to ensure a proficient, high-quality service for all.


They will assist in the provision of a fast and responsive patient focused service in a systematic approach, contributing to the team's delivery of targets including the scheduling of theatre lists to ensure full utilisation of available resources.

  • Carry out duties with due regard to the Trust's Equal Opportunity Policy.
  • Seek advice and support from Line Manager whenever necessary.
  • Maintain professional conduct including appearance at all times.
  • To act as a link between the Consultants, Medical Staff, Secretaries and Theatres Operational Coordinator ensuring all communication is passed on accurately whilst upholding confidentiality.
  • To be aware of waiting times and ensure appointments are booked within the appropriate timescales.
  • To ensure that the Electronic Patient Records are an accurate documentation of the patients care, updating information where necessary and as required.
  • Prioritise workloads and have the ability to work under pressure maintaining accuracy and meeting deadlines.
  • Provide support with auditing waiting lists through validation, thereby anticipating any problems, which may arise, thus ensuring waiting list key standard targets are met/maintained escalating issues to the Theatres Operational Coordinator
  • To be able to act quickly on last minute changes to admissions/ theatre lists, to ensure full utilisation of theatre time as directed by the Theatres Operational Coordinator, Operational Manager or Consultant.
  • Register patients accurately on the waiting list and outpatient system.
  • Send appropriate information regarding admission/ procedures.
  • Ensure all equipment such as computers, printers etc which are used are in working order, contacting the relevant department/ personnel if they are not.
  • Offer advice and support and demonstrate duties to new members of staff.
  • Provide nonclinical information to patients, patients relatives, GP's, other hospitals etc, whilst exercising judgement to ensure that all the relevant personnel are given necessary information as quickly as possible, thereby ensuring that any action, which needs to be taken, is taken promptly.
  • The post holder will require knowledge of Local and National RTT policy to facilitate the accurate scheduling of patients with consideration to RTT and clinical priority status.
  • The post holder will assist as and when required with RTT support to the Theatres Operational Coordinator and department.
  • To be able to work on own initiative and make decisions within written guidelines, sometimes without reference to others.
  • Ad hoc duties as required and requested by the Directorate Admin Team and or Theatres Operational Coordinator.
