KEY RESPONSIBILITIES

  • To familiarise with and train as required on the use of booking systems.
  • To create and manage bookings / appointments in the Q flow and Simply Book.
  • Under the direction of senior management build bookings/appointments schedules to
match demand and vaccine availability.

  • To be the first point of contact for any queries regarding Q-Flow and Simply Book either via
  • Provide training and updates for all staff required to use booking systems.
  • Identify issues/ problems and work on solutions.
  • Analyse information held on booking systems and present in reports in various formats
e.g., spreadsheets, or formal reports.

  • Produce required submissions as required and on time e.g., to RVOC.
  • Support SVOC with any bookings queries.
  • Contribute to MCO and SVOC daily huddles to support the wider programme.
  • Work collaboratively with Senior Nurses and site team leads in managing the bookings
systems.

  • Access systems to correct or amend individual and block vaccination bookings.
Providing a professional, efficient and comprehensive support service and at all times
demonstrating a high level of discretion, sensitivity and confidentiality

  • Acting as a point of contact within the team, dealing and responding effectively to queries
from stakeholders and passing on relevant information to appropriate team members
autonomously.

  • Prioritise own workload to meet conflicting deadlines and plan for known situations and be
able to re-prioritise work to accommodate unexpected situations.

  • Maintain databases and spreadsheets; producing reports as required, updating or
accessing information.

  • Ensure files, data and information (electronic and paper) are recorded and stored in line
with CSU/CCG/ICS policies and information governance standards.

  • Can be flexible and alter work patterns as required in order to meet the variable nature of
workloads, interruptions and deadlines.

  • Always recognise the importance of confidentiality and sensitivity of issues.
  • Participate in objective setting and monthly 1:1 meetings with line manager and attend all
mandatory training and other training relevant to role. Take every reasonable opportunity
to maintain and improve professional knowledge.

  • Undertake research for the senior management team as directed and carry out appropriate
delegated duties as required. This may include drafting reports and detailed responses to
issues.

  • Produce reports both internally and externally as requested.
  • Analyse data/information as requested.
The Lancashire and South Cumbria Covid-19 vaccination programme team is responsible for
delivering a safe, effective, speedy and efficient programme of vaccination against Covid-19.
A key element in this delivery is the setting up of, maintenance of and troubleshooting for booking
systems, both national and local, that enable citizens, eligible for vaccination, to be offered and
take up vaccination opportunities.
The pace of the programme along with significant policy changes, at times, requires flexibility in
response within booking systems and an ability to vary capacity and direct vaccination
opportunities where need, available resources and other imperatives require.
This role offers the opportunity to take on full and active membership of the bookings and
scheduling team within the programme.
A high degree of attention to detail is required in the management of booking systems as any
inaccuracy could present significant risk to the programme and directly impact upon the citizens
experience and wellbeing.
The post holder will contribute to and on occasion lead issue and problem identification and
resolution. The ability to anticipate potential problems is vital and developing a high level of
expertise on systems is essential.
