Band 2 Physiotherapy Team Administrators


Location:

Torbay Hospital; 16.5 hours

Newton Abbot, Totnes and Ashburton Hospitals; 24 hours


Two exciting opportunities have arisen to join the Musculoskeletal (MSK) Physiotherapy teams at Torbay, Newton Abbot, Ashburton and Totnes Physiotherapy Outpatient departments, as part of the Administrative Team.

We are looking for an enthusiastic, cooperative and versatile person to provide support to the local Physiotherapy Team;

one post is based at Torbay, and the other post is based across Newton Abbot, Totnes and Ashburton Hospitals, as well as working as part of the wider Physiotherapy admin team across South Devon.

They should also be able to work unsupervised when required.

Duties include assisting with the administrative day to day running of the department and general office duties; for example scanning, filing, managing the phone and photocopying.

  • To respond politely, efficiently and effectively to all telephone enquiries/appointment bookings received in the Physiotherapy Department
  • To distribute clinic information
  • To work flexibly alongside Admin team leads
  • Answer telephone, taking accurate messages and passing on promptly in accordance with office procedures, ensuring effective communication
  • Prepare patient information folders
  • Photocopy and collate written patient information
  • Scanning notes onto Windips system
  • Locating notes via Windips system
  • Circulate written information as requested by effecting prompt and comprehensive distribution
  • Prepare mail and redirect if necessary to the appropriate services to enable prompt communication with the staff
  • To effectively and responsibly manage filing systems
  • Some booking of Physiotherapy appointments for the Clinicians
  • To type correspondence as required promptly and accurately meeting service standards
  • To be familiar with, and to follow, Trust, Unit and Departmental policies including those of Health & Safety, in order to maintain consistency of approach and to safeguard the welfare of patients, visitors and staff
  • Any other duties in accordance with grade to meet the varying day to day requirements of the department
You will be part of the wider Musculo-skeletal (MSK) outpatient Physiotherapy Administration and Clerical team, supporting the physiotherapy service.

One role will be based at Newton Abbot, Totnes and Ashburton Physiotherapy MSK outpatient's department. The other role will be based at Torbay Physiotherapy MSK outpatient's department.

  • To ensure that all visitors and enquiries to the Physiotherapy Department are received courteously and their enquiries handled sensitively or signposted on to the appropriate department or service
  • To register patient details and arrange appointments on the appropriate IT database
  • To organise, and facilitate arrangements for the efficient running of Physiotherapy Clinics, keeping records up to date
  • To provide typing of Clinic appointments, correspondence in an accurate and timely fashion. Promptly deliver and collect mail within the Hospital
  • To exercise initiative in dealing with a wide range of demands and requests
  • To maintain confidentiality at all times regarding information gained during the course of duties
  • To input information into the computer
  • To provide support to clients and help them in distressing situations. Providing and receiving information, which requires tact or where there maybe barriers of understanding
  • To undertake training as required
