NG Bailey Facilities Servicess are currently recruiting a Contract Administrator to join their contract on site in London, Victoria.

The role is based on site in Victoria, London Monday to Friday with our client - 08:00 - 17:00


The Contract Administrator will provide administration support to the operational team in order for the business to meet deadlines and targets.

They will maintain high standards of administration support in accordance with company procedures.


RESPONSIBILITIES

YOU WILL:


  • Provide financial and operational administration support by updating the WIP report, carrying out cost control tasks; invoicing and raising purchase orders.
  • Collating and checking expenses using a budget sheet and inputting information relating to each cost.
  • Managing the budget sheet making sure we stay within the allocated amount each month.
  • Place orders for parts, equipment, and materials by liaising with procurement and follow up any queries in relation to delivery of goods and back orders.
  • Undertake tasks via IFS as required which could consist of; issuing PPMs, monitoring PPM completion, allocating reactive jobs to onsite engineers as and when they come in, ensuring all jobs are completed within the given time frame by chasing the engineers daily.
  • Assisting with generating small works quotations adding them to each system with relevant documents, ensuring job number/PO numbers are correct and match as per both our system and that of the client.
  • Collation of engineers' paperwork and, where applicable, updating IFS or the Service Centre with weekly/monthly rota information.
  • Liaise with subcontractors, service partners and all other 3rd parties for attendance dates ensuring the team are aware as and when they will be attending site, making sure permission has been granted for said subcontractors to access the site. Also over seeing and filing the subcontractor report sheets.
  • Assist with preparation of method statements, risk assessments and work permits both generic and specific.
  • Document control by compiling and recording incoming and outgoing documentations in accordance with NG Bailey system procedures including the contract shared drive.
  • Incoming/outgoing mail/courier arrangements/incoming deliveries/returns.
  • Handling of office stationery requests/uniforms/delivered to site for onward distribution.
  • Maintain holiday and sickness records for the onsite operational team.

REQUIREMENTS:


YOU WILL HAVE:


  • Familiar with CAFM Systems
  • Computer Literate
  • Understanding of technical terminology
