The AV Coordinator will undertake a key role within the team ensuing the delivery of the planned and reactive requirements.

The Coordinator will be focused on developing a strong working relationship with the staff on the client site which will be achieved through daily liaison and demonstrating efficiency and effectiveness within the role.


The Events Team, or more senior officials, will advise on priorities when there is a potential conflict and the contractor's team shall operate accordingly.


The role involves planning, coordination of engineering resources, parts, planning, decision-making activities, and the ability to disseminate and channel information to individuals for subsequent action.

This role is an essential part of the AV Support Team as it is the interface between the UKP staff, the internal Service Delivery Team and the AV technician's team; this role is instrumental in the delivery of excellent service.

This varied role will also include the following activities:

  • Responsible for the day-to-day triaging & processing of Service Requests, providing regular updates to the Team Leader and the client regarding the progress of the requests.
  • Managing requests for onsite engineering, consulting with the AV technician's team to ensure they attend site in the requested period, and with the correct information.
  • Coordinating initiativetaking tasks, which could include health checks for client's estates, or software release management.
  • Providing additional administrative support when requested
  • Coordinating training requests & booking courses
  • Planning and booking required resources.
  • Coordination of hardware repairs, or provision of advance replacements.
  • Organising loan hardware, ensuring accurate tracking of assets whilst on loan.
  • Logistics coordination ensuring that equipment is ordered and delivered to the relevant parties.
  • Responsible for ensuring documentation is updated accurately, and to agreed timescales.
  • Quote creation and procurement engaging with vendors or partners as required.
  • Communicating with the Authority to build an excellent longterm service relationship and providing client reporting where required.
  • Awareness of, and compliance with, the Quality, Environmental and Health & Safety policies and procedures that comprise Impact's Integrated Management System.
  • Data entry into the Authority standard PLANON toolset
