We currently have an opportunity within our team for a Senior Admin & Clerical Support Officer. The Senior Admin Officer supports the smooth running of the Facilities business takes Lead responsibility for clerical staff, co-ordinating and overseeing the allocation of tasks and providing guidance and supervision as appropriate
They are required to provide a comprehensive secretarial and administrative support service to the locality based Head of Facilities, Facilities Manager, Catering Manager and wider Facilities Department team.
There will be a need for the postholder to review, develop and control administrative systems to assist the Facilities services Manager with the management of the workload and responsibilities
The postholder needs to be precise in their day to day work as the role will involve recording information in staff pay, sickness absence and annual leave.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
The post will be based at Wrexham Maelor Hospital
- Responsible for providing a comprehensive secretarial and administrative support service to the locality based Head of Hotel Services, Hotel Services Manager, Catering Manager and wider Facilities Department team.
- Ensure adequate clerical cover for absence during annual leave, sickness and other busy periods.
- Schedules and arranges meetings, including the compilation of agenda and the taking and transcribing of formal minutes. This may include hearings, disciplinaries and Facilities Senior Management meetings. Ensuring that all minutes and action plans are distributed in an efficient and timely manner.
- Manages the diary of the Head of Hotel Services, Hotel Services Manager and Catering Manager, including scheduling and rescheduling of appointments.
Responsible for producing all day to day correspondence, including letters, memoranda, presentations, spreadsheets and reports using the Microsoft Office package.
- Deal with incoming and outgoing mail, to date stamp and distribute appropriately. Collection of qualitative and quantitative data for inclusion into regular / annual reports
