We have an exciting opportunity to join a friendly, high-performing and well-regarded administrative team as a Patient Pathway Administrator (PPA) to support our Cancer and Routine patients in the Upper Gastrointestinal, General Surgery and Endocrine specialties at Nottingham University Hospitals NHS Trust.
The PPA is a significant role and a key member of our administrative team supporting multidisciplinary clinicians and in service of our patients.
The main purpose of the role is to deliver high-quality, timely and efficient administrative services to our surgery service to allow our patients to move smoothly along their hospital pathways for best possible and timely care.
Main duties of the job
Working closely with our clinicians and as a key member of the Upper GI Administration Team, the post holder will deliver high-quality and timely administrative services that include typing clinical letters, making & receiving calls from patients on our pathway, booking follow-up appointments and tracking & reporting on the intended treatment, progress and status of our patients.
The post holder will play a key role within the service and will work in close liaison with NHS colleagues, patients and the general public.

The role will be employed by the Nottingham University Hospitals NHS Trust.
The role is based on-site at Nottingham City Hospital, sitting on-site with the team, located in an administrative office close to our Consultant Surgeons, Surgical Care Practitioners and Clinical Nurse Specialists.

The post-holder will deliver administrative services that include writing letters to patients to confirm appointments or to communicate outcomes to patients and GPs, based on audio dictation from clinicians; act as the first point of contact for patient queries; track, report and follow-up on patient next steps following outpatient appointments; book follow-up appointments; work with pace towards patient discharge; ensure accurate entry of data and minimise breaches against targets; work flexibly and step-in where needed in administration to allow the service to continue to grow and improve; support each other and work as One Team.
Key Responsibilities:
Accurately transcribe, from Winscribe digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard within specified timescales.
Book follow-up appointments in a timely fashion and ensure our clinics are fully utilised and minimise delays to our patients.
Track, report and follow-up on patient next steps, liaising with clinical staff and other administrators to ensure patients are seen on their pathway without delay.
Use judgement and initiative to prioritise the importance and urgency of particular requests within defined guidelines.
Exchange sensitive or contentious information with diplomacy and in a confidential manner.
Ensure patient pathway data quality is accurate to ensure we can measure and report on our progress, risks and successes.
Adopt a flexible attitude to meet the needs of the surgery service, taking into consideration the diverse needs of other individuals.
