Overall Job Purpose:

Providing effective administration support to the business units 27.5 hours over 5 days - 9.30am -3pm (hours negotiable)


Key Responsibilities:


On behalf of the business:

  • Contract Review
  • Control of enquiries and purchase orders to ISO 9001 requirements
  • Setting up of Network Sales folders
  • Seeking approval to tender
  • Updating enquiry Spreadsheet with submitted enquiry's
  • Allocation of New Job Numbers against the won enquiry's
  • Cross referencing of enquiry & projects spreadsheet to keep up to date data
  • Moving Sales folder to Won on Network
  • Sending of Order Acknowledgement to client once job number is allocated confirming atg airports Terms & Conditions
  • Produce Weekly and Monthly Reports
  • Creating new projects on Sage
  • Receive incoming calls, handle telephone enquiries and screen senior management calls
  • Incoming and outgoing post
  • Booking all accommodation, travel and overseas car hire for the business
  • Collection of weekly timesheets
  • Facilitate visitors refreshments and lunches
  • Control of company archive documents
  • Stationery stock and ordering
  • Canteen supplies, order and monitor requirements
  • External document register, purchase and logging onto register
  • Operation and Maintenance Manuals, Printing and Binding
  • Booking offsite conference facilities
  • Organisation of corporate events, overseas visitors, including travel, accommodation, entertainment and places to visit
  • Holiday cover for Business Administration Manager


In addition to the duties and responsibilities listed, the job holder is required to perform other duties assigned by the Manager as deemed necessary.


Person specification:

Experience:


  • Working effectively in an administrative role for a minimum of 5 years
  • Collating and presenting accurate information in a timely manner
  • Building and maintaining effective relationships with internal/external customers
Liaising with individuals and teams at all levels


Skills:


  • Excellent level of computer literacy in Microsoft Word, Excel, Access and the Internet
  • Able to communicate effectively with good presentation skills
  • Ability to plan and coordinate effectively
  • Ability to problem solve and make effective decisions
  • Highly developed analytical skills
  • Excellent Customer Service Skills
