**Fixed Term Contract until 30 June 2024, Full Time or

Part Time Position:
(3-5 days per week)

The V&V team undertake research and engineering projects in partnership with Government and Industry to accelerate the safe introduction of autonomous and connected mobility.

The role does not require a technical understanding of the work, but an interest in and enthusiasm for innovation, research and technology would be beneficial.


Educated to A level standard, you will have experience of working independently and using your own initative to solve problems and plan projects.

Ideally, you will possess, or be working towards, a project management qualification.

This is a very fast-moving environment, therefore you will need to be highly organised, wth the ability to prioritise and to work to tight deadlines.

JOB PURPOSE:

To support the delivery of projects, provision of management information and maintenance & development of the associated information systems. To support the development of initiatives into projects or proposals, and provide operational support across the V&V programme of work (including direct support to the Group Head, Programme Manager and Principal Engineers)


DUTIES AND RESPONSIBILITES:


Project Delivery Support.
To support the delivery of projects within the department through:

  • The co-ordination of project meetings, schedules and governance.
  • Monitoring delivery of milestones and deadlines as agreed by project teams, to follow up with project partners on milestone delivery.
  • The update of project documentation such as Gantt charts and risk registers based on information provided by PIs and research teams, managing a documentation repository including configuration management, coordinating the creation of reports and presentations for internal and external delivery including collecting information from external project partners.
  • To be a first point of contact for internal and external stakeholders regarding project management processes and programme information.
  • Supporting the financial monitoring, reporting and management of the project portfolio by creating financial tracking documents and liaising with finance functions.
  • Prioritising workload to support delivery, escalating issues/ difficulties and responding appropriately to direction from the Head of V&V.
  • To act as the team expert on University procurement processes and tools, including OPeRA, providing guidance and support to researchers/ engineers to raise orders, and raising orders on their behalf where appropriate.
  • To build and maintain relationships with other WMG and University of Warwick functions (including HR, IT, finance, marketing, business development and major programmes) in order to effectively coordinate and monitor progress of appropriate activity.

Project Development
To support the development of initiatives into projects or proposals:

  • To work with research teams and Programme Management to support the conversion of initiatives into projects or proposals using appropriate tools and techniques.
  • Managing and coordinating dissemination events and workshops.
  • Coordinating relationship building with research teams and organisations.
  • Creating marketing/presentation/website material.

Administration and information management
Administration, provision of management information and maintenance & development of associated information systems:

  • To provide some administrative and diary support for the Head of V&V.
  • To undertake general office duties such as maintaining and updating filing systems, dealing with visitors to the office, arranging in house hospitality and catering.
  • To maintain an office desk, and hybrid working, plan and documentation for team members.
  • Creating marketing/presentation/website material.
  • To generate management information and reports.
  • To maintain and develop project management information systems.
  • To support the project management configuration management strategy.
  • To establish and manage the programme documentation repository using the configuration management strategy.
