Job Summary


To provide a full and comprehensive administrative service, either independently or as part of a team, to non-medical staff within a designated Department/Area.

May be responsible for the supervision of other support staff.


Job Duties

  • Communicates with a range of contacts, for example, Managers, support staff, staff from other Departments and external clients. The information will, in the main, be complex and/or sensitive and, on occasions, require a tactful and/or persuasive approach.
  • Be required to support a number of operational and directorate meetings, as directed, by taking minutes of meetings which will include the preparation of papers.
  • Where required, be responsible, as directed, for information resources which could include data inputting, creating databases or spreadsheets and updating the Directorate's web information pages.
  • Be able to plan and organise activities or programmes, as directed, that require formulation, adjustment or a department coordinated response.
  • Be required to prioritise own work, and possibly that of others, making appropriate judgements. Undertake overall responsibility for Diary management and Meeting arrangements, analysing and resolving attendant issues.
  • Plan Diary appointments and Meeting schedules, organise appropriate Filing systems and, whenever necessary, plan and coordinate "Time Outs" and other events.
  • Produce letters, reports and other documents as required from, for example, audio tapes, dictation and/or handwritten format, utilising advanced word processing keyboard skills.
  • Ensures that both Trust and local Policies and Procedures are followed as necessary to own work, may be required to undertake the development of work processes and/or comment on proposals to change such processes.
  • May be responsible for the maintenance/ordering of levels of stock and supplies and using the Oracle system. Appropriate training will be provided.
  • May be responsible for cash handling and the safe storage and recording of monies and valuables that are received and may provide reimbursement of travel fees for patients.
  • If appropriate, be responsible for the supervision of other support staff, which may include the coordination of work activity. Ensures the appropriate induction of new or less experienced staff. The post holder may assist with recruitment administrationvia the online Trac portal. Appropriate training will be provided.
  • Where necessary, input to relevant Departmental/Area computerised databases, may create appropriate spreadsheets and be required to take and distribute relevant Minutes of Meetings. This may include the inputting of information onto the Datix incident reportingsystem, COSSH risk assessments and the recording of statutory and mandatory training and sickness reporting for the department. Appropriate training will be provided.
  • The post holder will support the Trust's internal audit service during regular reviews of financial and other systems across the organisation. The post holder will assist audit in these reviews and will provide information as required and without unduedelay.

Qualifications/ Skills

  • Word processing and computer literacy skills to RSA3/NVQ3 level
  • Previous Secretarial and/or Administrative experience (2 years minimum).
  • Educated to GCSE Level or equivalent including Maths and/or English at C or above or equivalent qualification/ demonstrable experience
