Legal Assistant

OVERALL ROLE PURPOSE
To provide integral administrative support to the Head of Department (HoD) and wider company commercial team, in accordance with internal procedures and best practice.
key areas of responsibility
- To produce high quality and timely correspondence using Word, Outlook, Excel & the Case Management System;
- To undertake corporate support tasks such as organising data rooms;
- To undertake proof reading and track changing of documents in accordance with instructions;
- To prepare detailed correspondence in accordance with instructions and set timescales;
- To undertake audio and copy typing of letters and documents;
- To serve as a point of contact and undertake training and mentoring as appropriate;
- To undertake diary management tasks including organising meetings and scheduling of appointments;
- To undertake invoicing and billing procedures;
- To undertake filing and archiving processes in accordance with company procedures;
- To undertake file opening processes including opening new files for clients, inputting new client details onto the Case Management system, sending out information to new clients and verifying information as appropriate;
- To develop and maintain department case flow processes with particular focus on maximising efficiencies within the department, including supporting the review and monitoring of new processes as required;
- To proactively contribute to the overall development, implementation and smooth running of internal administrative procedures including making suggestions as appropriate;
- To identify and undertake continual personal and professional development including contributing to the development of others as required;
- To follow and adhere to all Department Working Instructions (DWI's) and company policies to ensure compliance at all times;
- To undertake additional tasks which fall within the scope of the role as directed and reasonably required including providing support to other teams as appropriate
PERSON SPECIFICATION
Essential:
- Strong word processing and audio typing skills
- Good working knowledge and experience of Microsoft Outlook and other Microsoft Office products
- At least 12 months' experience in a similar role ideally within legal or professional services setting.

- Excellent personal organisation including the ability to prioritise work
- Ability to work methodically and accurately with excellent attention to detail
- Strong team working skills and ability to work on own initiative
- Excellent communication and client care skills

- Knowledge and experience of Case Management systems
