Operations Administrator

Acoustiguide has been at the forefront of producing audio and multimedia tours for well over half a century, as well as providing the hardware and equipment for visitors to enjoy them. We have an extensive list of clients from Museums to Art Galleries, to Castles and Visitor Attractions who rely on us on a daily basis to provide the best service to bring their sites to life. As Operations Administrator you will be the first point of contact for our clients to help make this happen.


We are looking for a very good communicator, with a flexible approach to this hands on role. You'll have excellent organisational skills as well as thriving in a collaborative environment to help solve problems. Customer service / account management experience would also be an advantage as would some experience within the Museum and Heritage sector.

Working in our Central London office you will report to the Head of Engineering - assisting them with day to day admin tasks of the department - this includes:

  • Organising and managing equipment installations and logistics
  • Supporting the Engineering Department with data collection visits.
  • Collating and running data collection / stock take reports using Microsoft Excel and other Microsoft Office 365 programmes.
  • Overseeing the planning, budgeting and inventory control of hardware and parts making sure there is enough stock at all times for repairs to be carried out.
  • Working with the Head of Engineering to research and identify parts suppliers and handle parts purchasing.
  • Visiting the offsite storage facility as and when needed and keeping it organised and tidy.
  • Organising delivery and collections of audio guides and supplies to and from our various clients across the UK and beyond. This includes organising shipping liaising with local, national and international couriers over the phone and also booking online and filling out relevant paperwork.
  • Packing and lifting / helping to lift boxes of devices / charging racks manual handling training will be given.
  • Manage supplies for UK Office across all departments making sure all employees have the tools to do their job. Order new stock when needed from external suppliers.
  • Visit client sites when needed and attend meetings.
  • Working days are Monday to Friday (9:30am to 5:30pm) but some out of hours work / overnight stays might be required when visiting various sites.
  • You will be working within a small team, so the successful applicant must be prepared to take on any other duties when required.

Essential

  • Have a very high standard of written and verbal English in order to communicate with our many clients both electronically and face to face.

Desirable

  • Experience of working in an operational / customer service / account management environment,
  • Experience in working within the Museum and Heritage sector.
