Due to promotion of the post holder an opportunity has arisen for a highly motivated and enthusiastic individual to join the acute paediatrics administration team.

We are looking for a conscientious and adaptable person to work with the service.

As part of a team of 12 you will be helping to provide an efficient and comprehensive secretarial service to our team of healthcare professionals.

Experience of providing administrative support is essential.


Previous experience in a healthcare setting would be an advantage however full training will be given on our in-house IT systems.

Applicants should display excellent communication skills as the post holder will be liaising with staff at all levels.


To provide secretarial and administrative support to consultants and other medical staff using a range of secretarial procedures in accordance with the processes laid out in the Medical Secretaries Handbook and to provide cover for colleagues as necessary.

Receive and process telephone calls in accordance with Trust policy and in an appropriate manner

Maintain absolute patient confidentiality at all times in accordance with Trust policy and the legal framework such as the Data Protection Act


Utilise advanced keyboard skills to RSA Stage 3 and RSA Stage 3 Audio Typing or equivalent to produce clinical and routine correspondence to health professionals, patients and their carers.

Regularly utilise Trust information systems such as Maxims for the creation of correspondence, reports and other documents. Develop a thorough knowledge and understanding of the Patient Administration System (PAS) and Casenote Management.

Sustainability is integral to the Trust achieving the NHS Net Zero target. All staff are therefore actively encouraged and supported to implement new ways of working within their field of expertise.

Take and process telephone calls in an appropriate manner. Telephone calls will involve contact with patients, carers and health professionals and may involve the provision of non-clinical advice

Organise the diary of the appropriate clinical team; ensuring changes are processed in accordance with the Trust Access Policy


Obtain hospital case notes and X-rays from both within the Trust and outside Trusts when required (ensuring case notes and X-rays are tracered accurately using PAS at all times and returned to Health Records in a timely manner).


Bring to the attention of the clinical staff all results in a timely manner and promptly act on any instructions given regarding these.

Ensure a robust system is in operation to chase up any outstanding tests/opinions in a timely fashion and ensure Doctors Office is applied as necessary

Ensure case notes are maintained in accordance with the Trust's Case Note Management Policy and that all correspondence, reports and results are filed correctly and in a timely
