Based at five UK locations, we provide specialist E&I inspection, maintenance and project services to all parts of the Offshore & Onshore Energy sector, Pharmaceutical and Marine industries.

Dron & Dickson are pleased to advertise this exciting opportunity for a Facilities Administrator to join our HSEQ Team in Westhill.


This role has the potential to lead to future training and qualifications within HSEQ and or an opportunity to progress within other support or operational departments.

Purpose:

The primary purpose of this role is to maintain a functioning facility which is key to D&D operations and provide proactive support on all aspects of administration for the wider organisation.


Objective:

The primary objective of this role is to support the business through the facilities management of the main D&D operational site at Westhill, with support where required to other UK branches.

Delivering a positive and professional image of the company to visiting clients, vendors, contractors and other key stakeholders.

**Core Alignment Responsibilities: - Understand and support the company's mission, vision and values

  • Responsibility of personal learning, development and KPI completion
  • Promote and proactively adhere to the companies core values in all daytoday activities and interactions.

Role Responsibilities:


  • Coordination of the building's facilities maintenance and general building upkeep.
  • Dealing with site contractors, service engineers, etc, as main point of contact.
  • Organising relevant support for emergent situations (plumbers, electricians, builders, waste, etc).
  • Schedule and arrange service and maintenance visits.
  • Upkeep of IMS with regards to facilities related records (service & inspection reports).
  • Point of contact for all car and van leasing enquiries (quotes, MOTs, servicing, insurance, livery).
  • Upkeep of certification and notice boards with relevant HSEQ and other information.
  • Manage monthly office and warehouse inspection reports.
  • Complete HSEQ element of ITTs and Questionnaires.
  • Maintain Environmental and H&S Scorecards.
  • Ensuring our key suppliers have the relevant certification and insurances and update renewals.
  • Meet and greet visitors and sign them in to the facility, inducting if necessary.
  • Arrange lunches and make social bookings where requested.
  • Responsible for ensuring stationery supplies are readily available.
  • Responsible for distribution of internal mail and daily posting of outgoing mail.
  • Booking of taxis and other transportation for staff, directors, and clients.
  • Responsibility for Petty Cash allocation and record keeping.
  • To maintain effective communication and form relationships with both internal and external stakeholders
  • Answer main phone switchboard and forward calls as appropriate.
  • Ad hoc duties as requested by management.
  • Travel may be necessary to ensure delivery of business needs.
  • Social and business networking is expected on occasion.

HSEQ Responsibilities:


  • Comply with all Dron & Dickson's integrated managements system including all policies and Procedures
  • Ensure the Company meets its statutory obligations in all areas pertaining to health, safety and welfare at work, including statutory training and reporting.
  • Act ethically and with integrity
  • Ensure all health and safety training is undertaken.
  • Ensure a safe workplace environment without risk to health.
