Description

Due to sustained business growth and our fleet of vehicles expanding, we are excited to have a
Fleet and Office Coordinator joining us
on a permanent basis.


This is a hours/ week part-time role with the flexibility of
hybrid working offered (minimum 2 days/ week in our Bracknell head office).


Salary:
£23,000 gross per annum full-time equivalent, £17,250 gross per annum for 30 hours/ week.


We are looking for an
enthusiastic, pro-active and highly organised individual with
experience working in a fast-paced, preferably SME or hospitality environment.


In this key position, you will make a real difference in strengthening our culture and colleague experience by supporting the operational team with the day-to-day management of our growing fleet (currently 50 vehicles).

Interacting with team members at every level but also with our fleet rental and insurance companies, the Fleet and Office Coordinator role demands stellar organisation skills, efficiency and personality.


Main Objectives of the role

  • Managing daytoday activities of our growing fleet, including vehicles onboarding and offboarding, processing parking and PCNs notices/ challenges, support with servicing bookings, handling any claims and damages and providing accidents guidance
  • Ensure vehicle handovers are completed in line with company expectations and procedures
  • Liaising with the insurance broker to add or remove vehicles and drivers onto the insurance policy and to open up incident claims when needed, providing the required documentation
  • Ensure that vehicles safety checks are done periodically as per company standards and procedures and take corrective action or escalate when that isn't the case
  • Manage the organisation of birthday cards and other recognition to maintain a peoplefocused culture
  • The smooth running of the office activities to ensure a clean, healthy work environment conducive to an engaging and productive workplace

Do you have what it takes?

  • Excellent attention to detail, organisational and time management skills in a relentless environment with a constant shift of priorities to meet tight deadlines
  • Approachable, with a positive personality and pleasant disposition but also confident and assertive when needed
  • Exceptional interpersonal skills to build trusted relationships across the business
  • Advanced capabilities of the Microsoft Office package and generally IT minded
  • Diplomatic and able to inspire confidence, with a thorough and professional approach
  • Comfortable working with conflicting priorities and able to work under pressure
  • Attention to detail and good reporting, planning, and administration skills
  • Ability to deal with challenges in a calm and professional manner

Desirable but not essential

  • Understanding of insurances, vehicles and mechanical work
  • Experience of fleet management is desirable
